Role Summary:
We are seeking a detail-oriented, proactive Production Coordinator who will serve as the crucial link between our clients and the production team. In this role, you’ll be responsible for managing client communications, coordinating pre-production logistics, scheduling projects, handling administrative tasks (including invoicing and proposal creation), and ensuring that every project runs seamlessly from inquiry to delivery.
Key Responsibilities:
Client Communication & Pre-Production Coordination:
• Act as the primary contact for clients from initial inquiry through post-project follow-up.
• Confirm shoot details (dates, locations, talent, permits, etc.) and clearly communicate requirements to the production team.
• Provide timely updates and manage client feedback throughout the project lifecycle.
Project Scheduling & Coordination:
• Maintain detailed project timelines and ensure all deadlines are met.
• Coordinate schedules between photographers, creative director, B-cam operator, and post-production editors.
• Use tools like Notion, Milanote, and Google Calendar to track and update project progress.
Administrative & Financial Management:
• Create and manage project proposals that clearly outline scope, deliverables, and timelines.
• Handle invoicing and track payments to ensure financial accountability.
• Assist in budgeting and expense tracking to maintain project profitability.
Workflow & Operations Support:
• Organize and maintain project files, contracts, and client documents for easy access.
• Schedule meetings and manage internal calendars using Google Calendar.
• Utilize Slack and email for effective team communication, ensuring all stakeholders are aligned.
Creative & Collaborative Support:
• Collaborate with the creative director and team to ensure the vision is maintained across projects.
• Assist with content creation for proposals using Canva to support branded materials when needed.
Requirements:
• Proven experience in project coordination, operations, or a similar role within a creative or production environment.
• Exceptional organizational and time management skills.
• Excellent written and verbal communication abilities.
• Familiarity with project management tools (e.g., Notion, Milanote) and calendar management (Google Calendar).
• Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
• Experience with invoicing, proposal creation, and financial tracking is a plus.
• A proactive, problem-solving attitude and a passion for creative storytelling.
