What are the responsibilities and job description for the Wedding Venue Coordinator position at CHEERS CHALET?
On-Site Venue Wedding Coordinator is a part-time or full-time opportunity to work directly with clients and vendors on event days to create lasting memories and exceed expectations throughout the event. This position is primarily part-time evenings and weekends, but can be full-time with additional responsibilities. The ideal candidate has passion for events, weddings, and is able to problem solve and work independently.
Primary Duties & Responsibilities:
- Work directly with clients leading up to events, answer questions by text, email and phone in a timely manor
- Work directly with clients to address venue related questions or concerns on the day of the event
- Create day-of timeline for event
- Assist with coordinating the wedding ceremony rehearsal, and coordination of the ceremony on the wedding day
- Assist with wedding and reception set-up, and set-up/decorating with clients items
- Adjust layout according to needs of client and at the direction of Owners/GM
- Be present on-site day of event, for the entire event, and ensure all contractual obligations are met by the venue
- Communicate with, and confirm expectations with client hired vendors
- Venue liaison for clients and vendors on event days. Cue DJ's/Bands when announcements need to be made, and coordinate food timing with our kitchen staff
- Must be onsite representing venue from rental start time, until completion
- Check in, manage, and check out client and vendors
- Perform overall venue duties as directed by Owners/GM and per the contract
- Quality control for venue cleanliness prior to and post events
- Manage all aspects of venue and field questions from guests, vendors, and clients
- Communicate with Owners/GM before, during, and after events.
Requirements:
- Must be willing and able to work long days. A10-14 hour event day is typical
- Must be respectful and kind to all people, including staff and vendors
- Must be able to communicate efficiently and clearly with GM, clients, guests, and vendors
- Event venue, hospitality, or event coordination experience a huge plus
- Must be able to be on time and follow direction
- Must be able to deal with high stress situations
- Late night/early mornings are required
- Ability to regularly lift and/or move up to 50 pounds
- Knowledge of commonly used concepts, practices and procedures in an event venue
- Reliable transportation
- Must be able to stand for long periods of time
- Access to cell phone
- Email access and intermediate computer skills required
- Must be able to think on your feet and adjust plans as necessary
- Must have common sense and a positive attitude
