Summary
We are seeking an Administrative Assistant to join our team at Chenango Health Network. This role is essential in supporting our operations by managing administrative tasks, ensuring efficient office management, and providing excellent customer service to our clients. Your contributions will directly impact our mission to serve the community effectively.
General Statement of Duties:
This position is the first contact with agency clients, ensuring a welcoming environment to all who visit. The position completes daily tasks for Executive Director, Finance Manager, and two Program Managers including preparing materials for meetings and trainings, updating calendars, returning phone calls, filing, and developing forms and external communications. Th position contributes to the effective organization of agency infrastructure by maintaining agency documentation for grant readiness, facilities management, technology management, and social media.
It is the responsibility of the employee to have reliable transportation. Chenango Health Network will provide any necessary equipment needed to perform job duties.
Specific responsibilities include but are not limited to the following:
- Work in office, greeting clients and guests in a professional welcoming manor.
- Assist Leadership Team with organization and preparation for meetings, trainings, and reports and other activities, including 1/4ly Board of Director meetings.
- Provide direct management and maintenance of all grantor systems and requirements including but not limited to; grants.gov, e-commons, SAMS, SFS and Document Vault materials.
- Provide facilities support. Liaison with the building manager and maintenance crew to ensure that CHN space is accessible to staff and clients.
- Provide human resources support, including, but not limited to; payroll processing, tracking and reporting leave time, implementing recruitment activities, orienting new employees, maintaining confidential documents, facilitating and tracking required trainings and interfacing with our human resources consultant as needed.
- Maintain agency equipment, including, but not limited to: maintaining service contract records; contacting service contractors for copiers and fax; stocking toner for computer network printers and copiers; and, interfacing with computer network consultant, as needed.
- Provide staff support for agency computer and computer network by working with CHN’s IT consultant.
- Provide complete and accurate reports as required and upon request, per established deadlines.
- Attend and participate in meetings, conference calls, webinars, and trainings as required.
- Maintain a level of competency for effectively meeting the requirements of this position.
- Perform other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Experience with federal, state, and private grant systems
- Experience with social media planning.
- Ability to communicate clearly and effectively both verbally and in writing
- Experience with not for profit and human service organizations
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent customer service skills with a friendly demeanor.
- Proficient in computer applications including Microsoft Office Suite.
- Strong time management skills with attention to detail.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work independently and as a member of a team
- Willingness to accept and adhere to agency values and standards.
- Maintain a valid driver’s license, vehicle insurance and use of private vehicle for work related purposes.
Acceptable Education/Experience/Training:
- Graduation from a regionally accredited or registered four year college or university with a Bachelor’s Degree in Business Administration or related field and one year of administrative experience in a community organization -or-
- Graduation from a regionally accredited or registered two year college or university with an Associate Degree in Administration or related field and three years of administrative experience in a community organization -or-
- High School education or equivalent and five years of administrative experience in a community organization
