Safety & Recruiting Coordinator
JOB SUMMARY
The Safety and Recruiting Coordinator is responsible for ensuring a safe, compliant, and productive workplace while managing the recruitment process for frontline operation teams. This dual-role position combines safety training and oversight with talent acquisition, ensuring that all safety regulations are adhered to and that recruitment activities are efficient, timely, and effective. The coordinator will collaborate to develop, implement, and maintain safety policies, lead safety training, and oversee the organization’s safety records. Additionally, the coordinator will manage the end-to-end recruitment process for frontline operations and field teams, including job postings, candidate screening, interviews, and onboarding for new hires. A key aspect of this role involves fostering a culture of safety throughout the organization by educating and influencing team members at all levels to integrate safety as a core component of everyday operations. The ideal candidate will be outgoing, friendly, strategic, and resilient, with a proactive approach to both safety and recruitment. A working knowledge of both English and Spanish is required.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Safety Essential Duties
- Support management in the planning, development, implementation, and evaluation of safety policies, programs, and training initiatives; promote a culture of safety and ensure adherence to legal and departmental standards.
- Ensure compliance with all federal and state OSHA and FMCSA regulations by providing ongoing training, instruction, and guidance to employees at all levels.
- Identify training needs across the organization, develop tailored safety training courses, and ensure programs are aligned with federal and state regulations to prevent accidents and reduce losses.
- Oversee the execution of safety audits, inspections, and the administration of safety policies, ensuring the timely implementation of safety training programs.
- Monitor and maintain safety performance reports, analyzing relevant safety data for trends, and presenting findings to leadership and management teams to drive continuous improvement.
- Stay informed about current and emerging regulatory requirements, ensuring that systems, programs, recordkeeping, and reporting procedures comply with applicable laws.
- Collaborate with corporate and local management to conduct thorough investigations into accidents, incidents, employee injuries, and vehicular events, ensuring comprehensive reports are completed.
- Lead accident investigations and manage all post-investigation recordkeeping to ensure accurate documentation and regulatory compliance. Maintain OSHA logs.
- Conduct regular warehouse safety audits, identifying any issues or discrepancies, and implement corrective actions to meet safety regulations and standards.
- Manage weekly and biweekly safety tailgate/toolbox training and development of dashboards.
- Interface with regulatory agencies, committees, and staff to develop and implement corrective actions in response to identified safety issues or compliance gaps.
Recruiting Essential Duties
- Recruit and promote open labor positions within local communities and relevant job markets, ensuring a broad pool of qualified candidates.
- Assist in developing engaging communication content to attract recruits both online and within the community.
- Visit local community centers and job sites to actively promote open positions and engage with potential candidates.
- Represent the company at job fairs, promoting vacancies and screening candidates to identify qualified individuals.
- Develop innovative sourcing strategies and recruiting resources to expand the talent pool and attract qualified candidates for open positions.
- Build and maintain a strong candidate pipeline by cultivating long-term relationships with prospective employees.
- Collaborate with operational and hiring managers to understand their specific labor needs and ensure recruitment efforts align with organizational goals.
- Conduct comprehensive interviews, including pre-screening phone calls, to assess candidates' qualifications and suitability for the roles.
- Provide consistent communication and career guidance to candidates throughout the recruitment process to maintain engagement.
- Oversee the full recruitment process, from job posting to offer acceptance, ensuring all stages are managed efficiently.
- Track recruitment metrics such as offers extended, new hires, turnover rates, and any missing information for compliance purposes.
- Schedule and coordinate New Hire Safety Orientation sessions for remote workers at designated job sites.
- Stay informed about industry trends, best practices, and new technologies in talent acquisition to continuously improve recruiting efforts.
- Manage job postings through applicant tracking systems (ATS), ensuring accurate and up-to-date listings.
- Maintain knowledge of employment labor laws and recruitment-related regulations to ensure compliance throughout the hiring process.
QUALIFICATIONS
- Bachelor's degree or equivalent, preferably in Safety, Risk Management or Insurance (Note: Relevant, progressively responsible work experience may be substituted on a year for year basis for the required education.
- 3 years experience in safety & health role.
- Recruiting and talent acquisition experience preferred
- Bilingual English-Spanish
- Knowledge of OSHA, FMCSA and other federal safety standards, principles, practices and techniques.
- Knowledgeable in Federal and State Department of Transportation and FMCSA regulations.
- Strong communication skills – written, verbal, electronic and visual communications for effective expression and clarity.
- Professional written and verbal communication skills, ability to maintain multiple tasks in an organized manner.
- Ability to exercise judgment and make decisions in accordance with established laws, regulations, ordinances, departmental policies and procedures.
- Strong P.C. & organizational skills - intermediate experience with use of MS Word & Excel & Google Docs.
- Valid Driver's License with clean MVR.
- Familiarity with applicant tracking systems (ApplicantStack, ADP) and HRIS software
HOURS OF WORK
This is a full-time position. Days and hours of work are Monday through Friday, 40 hours per week. Occasional evening and weekend work may be required as job duties demand.
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computer, photocopiers and smartphones. Occasional bending, lifting and carrying of objects not to exceed 20 lbs. Occasional exposure to outdoors.
