Director of Operations
The Director of Operations will work closely with The Chesapeake Center’s CEO and Director-level managers. We are seeking an experienced manager with a broad range of experience and skills to join our management team. Pay is generous and commensurate with experience. The job provides a flexible hybrid work model, in office three days a week, at home two days a week.
The Director of Operations Responsibilities will include, but are not limited to:
Business Development / Expansion:
· Collaborate with the CEO and Director-level managers in the development of strategic plans for operational development.
· Support the CEO in the growth of the center in terms of screening, hiring, and onboarding professional and administrative staff.
Financial Oversight:
· Create and manage financial reports.
· Analyze data and monitor trends to improve profitability, in collaboration with our bookkeeper and accountant.
· Supervise the billing team and resolve any systemic billing or insurance reimbursement issues.
· Review monthly financial statements and data with the CEO and bookkeeper.
· Generate commission reports for clinicians and assist in the bi-monthly payroll cycle.
· Prepare and control operational budgets.
· Pay monthly bills for services and supplies.
· Communicate with clients to resolve any customer financial complaints.
Operations Management:
· Ensure clinician licensure, liability insurance, Medicare opt out forms, and employee contracts are up-to-date.
· Ensure that center practices are compliant with HIPAA regulations and PCI financial practices.
· Negotiate and finalize all lease agreements and software/service contracts in consultation with the CEO.
· Help write, implement and monitor office policies and procedures.
· Oversee the daily operations of the Bethesda facility.
· Communicate with building management to ensure all facilities are clean, safe, and maintained.
· Provide IT Support and troubleshooting to other staff members.
Human Resources:
· Train and supervise administrative employees to ensure quality control, efficiency of systems, compliance with established procedures and highest quality customer service.
· Create and maintain administrative and clinical manuals and ensure staff compliance to the center’s policies and procedures.
· Assist the CEO with recruitment, training, and onboarding of new clinical staff.
· Work with our entire clinical team, encouraging their ideas, responding to their individual needs as they arise, and mentoring and guiding younger staff in career growth and development.
· Work with administrative employees to help them to identify and develop higher level skills that will benefit the Center and that will benefit them in any future employment.
· Collaborate with the CEO and Director-level managers on staff performance evaluations.
· Ensure employee satisfaction and resolve any HR issues.
· Oversee the monitoring of clinical notes in our EMR on a monthly basis and report to the CEO any problems
*Director-level managers will have assigned rotating responsibility for any and all urgent issues, either clinical or administrative, during and after office hours.

Minimum Qualifications:
· Bachelor’s degree in a relevant field
· 5 years of experience working in an upper-level management or director position
· Experience solving HR issues across teams
· Proficiency in Microsoft Office, particularly creating, formatting, and optimizing reports in Microsoft Excel
· Fast processing and typing speed
· Ability to multitask and prioritize responsibilities
· Demonstrated ability to respond to problems in a diplomatic, constructive fashion and capable of working comfortably with all levels of staff
· Excellent written and verbal skills
· Ability to analyze problems and articulate solutions
· EMR experience a plus
