Job Description
The position provides administrative support to the assigned Local Advisory Council's (LAC) office and performs general clerical duties which include typing, copying, faxing, and filing.
Duties and Responsibilities
- Greets visitors and maintain sign-in sheets.
- Opens, sorts, and distributes incoming correspondences, including faxes and emails.
- Distribute flyers as needed.
- Screens telephone calls and takes messages.
- Schedules meetings and appointments for CAC / LAC President and Board Members.
- Maintains an inventory of office equipment, materials and supplies and distributes as needed.
- Forwards equipment and supply needs from the CAC / LAC President to the CAC staff.
- Verify items received from the CAC and match the requisitions and invoices.
- Composes types and proofreads correspondence to support the communication needs and daily work requirements of the LAC President and or CAC management staff.
- Types, proofreads, and edits reports, meeting minutes, memorandums and other documents of varying complexity to support the LAC President and / or CAC management staff.
- Coordinates with CAC staff travel arrangements for LAC members, when requested by the LAC President.
- Assists the LAC President in handling resident grievances, as requested.
- Provides clerical support to the Building Blocks and Building Presidents which may include flyer preparation, meeting notification and distribution.
- Interacts with the police department, property managers, drug prevention agencies and other external and internal organizations.
- Organizes and maintains accurate file records of all documents (correspondence, forms, reports, etc.) and provide copies of documents as requested. Also, follow-up on pending matters.
- Scans / faxes information as requested.
- Distributes flyers and other information to residents regarding services and any upcoming events.
- Participates in planning and coordination of special initiatives.
- Aids residents as requested, for example, typing resumes and faxing documents.
- Assists with coordination and attend monthly Tenant Services and / or SHAC meetings as requested.
- Submits activity reports to assigned CHA staff.
- This position occasionally requires working hours outside of CHA's established hours of 8 : 30am-5pm, Monday-Friday.
- Other duties as assigned.
- This position is eligible for remote work once weekly following successful completion of probationary period.
Qualifications
This position requires a High School Diploma or GED, with 1-2 years' experience in general office responsibilities and procedures. Working knowledge of Microsoft Word, Excel and PowerPoint is needed along with knowledge of modern office methods procedures and filing techniques. Must be able to maintain a good working relationship with residents, CAC Board Members and LAC Presidents.
