What are the responsibilities and job description for the Event Coordinator position at Chicago Stars Football Club?
Primary Responsibilities
- Assist with planning and managing home matches, ensuring every aspect reflects an impeccable eye for detail.
- Assist with the set-up, execution, and tear down of various spaces for home matches including but not limited to the field side area, gates, concourse, hospitality spaces, and other activation spaces.
- Create event documents including event space diagrams, event notes, and other documents to assist with match execution.
- Coordinate with all internal departments to ensure open lines of communication involving all event details including staff scheduling and coordination.
- Oversee event storage location management and maintain inventory of event-related items.
- Properly compile and distribute all pertinent event information in an effective and timely manner.
- Create post-match notes upon completion of every home match.
- Operational oversight of fan experience programs and participants on match day.
- Adhere to a strict event timeline and tasks for preparing for matchday.
- Coordinate and assist the Operations Manager with the Guest Service Associate program.
- Oversee all credential applications and printing
- Maintain accurate and complete files, records and other documents related to assigned responsibilities.
Qualifications & Expectations:
- Minimum of 1-2 years of experience in operations and event planning is required.
- Bachelor’s degree in Hospitality, Management, Event Planning, and/or Sports Management are preferred.
- Must be able to attend all Chicago Stars FC home matches.
- Must have a valid Driver’s License and reliable transportation to get to and from the main office in Chicago, SeatGeek stadium in Bridgeview, and other facilities.
- Ability to coordinate multiple tasks, prioritize quickly, problem solve, and work collaboratively and professionally with colleagues, fans, athletes, and other stakeholders.
- Knowledge in determining and coordinating logistical needs for large events, preferably in a large sports stadium or event venue.
- Outstanding proficiency with Microsoft Office Suite with priority in Word, Excel, & PowerPoint.
- Proven job reliability, diligence, dedication, and attention to detail through the full life cycle of events (pre-planning, matchday, post-evaluation)
- Must be flexible with working nights, weekends, and holidays including in an outdoor stadium environment.
- Must be able to lift, carry, and move items weighing up to 50 pounds as needed.
