About the Position
The Rental and Event Assistant Coordinator position is assigned to the Administration Division and is under the general direction of the Business Services Manager and Coordinator. The Rental and Event Assistant Coordinator performs a variety of duties relating to facility and picnic rentals, supports CARD Special Events, and directly assists in supervising the Lead Event Attendant and Event Attendants. This classification is responsible for implementing the reservation and permit program of District rental activities, serving as the resource point of contact for internal and external inquiries.

CalPERS
This position participates in the Public Employees’ Retirement System (CalPERS). Classic Members in this position will contribute 8% and New Members (PEPRA) will contribute 7.75%. Benefits of CalPERS membership include:
- Classic Members (membership in CalPERS before 01/01/2013) – 2% @ 55
- New Members (membership in CalPERS after 01/01/2013) – 2% @ 62
Vacation
One to Three Year's Service - 80 hours
Four to Ten Year's Service - 120 hours
Eleven Year's Service and Over - 160 Hours
Sick Leave
96 hours or 12 days/year to be accrued at the rate of one working day for each full calendar month worked, or portion thereof.
Paid Time Off (PTO) and Holidays
This position will receive 10 days of PTO annually, 10 paid holidays and 3 additional days around the holidays, 12 sick leave days, and 2 Personal Business Days (to be used by June 30 each year), as part of the District’s PTO and holiday policy.
Holidays include: Martin Luther King Jr.'s Birthday, Presidents' Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Veterans' Day, Thanksgiving Day, Day after Thanksgiving, Christmas Eve, Christmas Day, New Year’s Eve, and New Year's Day. These will be District paid days off, except if District operational needs require staffing. Weekend holidays will be observed on a Monday or Friday with the exception of non-federal holidays.
Health Insurance
The District provides a monthly monetary allocation of $1,100 for enrollment in the Health, Dental, and Vision plans.
Life Insurance
The District carries $50,000 Life Insurance on full time employees. Some Life Insurance is also provided for spouses and eligible dependent children.
ESSENTIAL FUNCTIONS: May include, but are not limited to, the following:
- Provides excellent customer service to renters of District facilities including scheduling and processing facility and park rentals; providing tours; explaining the rules and guidelines of the facility, administering rental contracts; providing the renter with a list of rules and cleaning requirements.
- Monitor day-to-day operations of facility rentals and picnic events, including making site visits, handling, and resolving complaints or issues not requiring the attention of the Business Services Manager, and ensuring events have required materials and supplies.
- Establishes and maintains professional and constructive relationships with event organizers, affiliate businesses and agencies in use of district facilities, resources and district processes.
- Provides leadership, direction, and supervision of Event Attendants and Lead Event Attendants, including selecting, monitoring, training, scheduling, and determining workloads; assist with hiring, disciplinary and evaluation processes.
- Work collaboratively with the Marketing Coordinator to create, update, and monitor social media resources and facility rental websites to drive revenue.
- Works collaboratively with the Public Outreach Specialist to staff and support CARD hosted Special Events (examples include Kite Day, Movies in the Park, etc.).
- Have positive communication and interaction with renters, vendors, co-workers, and the public, and maintain a professional demeanor.
- Provide oversight of opening and closing facilities for activities/events and weekend rentals; prepare operational plan for event use of facilities including set-up and take down of chairs, tables, and equipment; ensure that premises are vacated, alarms activated, and all doors secured/locked.
- As needed, remain at facilities during activities/events to monitor activities, address the needs of the renters/patrons, ensure room capacity adherence/exercise crowd control, and ensure compliance with the rental contract, policies and procedures, and District rules.
- Assess District parks and facilities for problems with security (i.e. non-functioning light bulbs, vandalism, ) and hazardous conditions and report issues to the appropriate staff. Work collaboratively with facility maintenance staff to maintain standards.
- Attend networking events and/or bridal shows as requested.
- Serve on-call for rentals in rotation with other event staff as needed.
- Drive a District vehicle or personal vehicle to conduct CARD business.
- Perform other related duties as assigned.
