We are seeking a team player to join our Finance Department as a Billing and Collections Specialist. The Billing and Collections Specialist will be responsible for generating both e-bill and paper client invoices, working closely with a number of attorneys and staff to ensure that invoices meet the established standards for content, timeliness, and format, follow up on outstanding balances, and take ownership of their book of attorneys.
Responsibilities:
- Maintaining a thorough knowledge of client terms (on demand, monthly, quarterly, flat fee billing, and electronic billing) discount arrangements, lawyer, and client preferences while managing the complete billing process for assigned billing responsible attorneys
- Producing firm standard billing proformas for review by billing responsible attorneys each month
- Editing and finalizing invoices based on instructions provided by the billing responsible attorneys and client guidelines
- Submitting electronic invoices through various e-billing vendors
- Reviewing e-billing vendor rejections and reductions with the responsible billing attorney and submit appeals for reimbursement
- Responding to information requests from lawyers, clients, and staff related to client billings
- Following up with billing responsible attorneys to ensure timely processing of bills and transmittal of bills to client
- Researching proformas or billing-related inquiries
- Producing monthly statements for outstanding invoices; send same to clients; follow up on outstanding balances
Our ideal candidate would have 3-5 years of minimum experience with extensive experience with ADERANT, preferably Version 8.2.1 or greater, Open Billing and proficiency with computer platforms and applications (Word, Excel pivot tables, Adobe, BillBlast / eBilling Hub).
Law firm experience is required. Strong written and communications skills, a willingness to learn and the desire to be a team player in a fast-paced environment are prerequisites for this role. Overtime flexibility to meet the needs of the department, as needed.
This position is in-person five days per week in our Roseland, NJ office.
