JOB DESCRIPTION
TITLE: Program Assistant
EDUCATIONAL REQUIREMENTS: High School Diploma or G.E.D. / Secretarial training. Associates Degree in Human Services or related field is preferred but not required.
EXPERIENCE REQUIREMENTS: One-year office experience and/or working directly with the general public. Payroll experience and familiarity with Day Programming and Waiver Services helpful
ADDITIONAL REQUIREMENTS:
- Must have a safe driving record and hold a valid driver’s license
- Must have proof of auto insurance.
- Must be capable of occasional transferring and lifting of clients – if needed
- Must be capable of providing services in any setting, i.e. facility, community, vehicle, etc.
- Must obtain / maintain certification and be able to implement CPR & First Aid. Training is to be completed within 1 month of employment or earliest availability. (Provided and/or paid by C.A.R.S.)
- Must obtain / maintain certification and be able to implement NVCPI. Training is to be completed within 1 month of employment or earliest availability. (Provided and/or paid by C.A.R.S.)
- Must successfully complete Core A and Core B [dispensing medication] within 120 days of employment. (Provided and/or paid by C.A.R.S.)
- Must be free of communicable disease.
- Must not have any evidence of abuse or fraud in any setting
- Must not have been convicted of a violent crime or crime related to a dependent population
- Must not have repeated or substantial violations of applicable laws and rules in operation of any type of residential, health or developmental program in the care of dependent persons.
- Must be able to input and retrieve data electronically utilizing an electronic data collection system.
- Must be familiar with Microsoft Office programs
- Must have safe, dependable transportation with insurance and be willing to transport individuals in own vehicle if deemed necessary.
- If applicable – must obtain / maintain a “For Hire” License. License is to be obtained within 1 month of employment.
JOB SUMMARY:
The Program Assistant is responsible for assisting the Adult Program Coordinator / Service Coordinator with the day-to-day operations of the Day Service Program. The Program Assistant is responsible for overseeing transportation services as well as all clerical and billing services that are required for the operations of the facility.
DUTIES:
Billing Duties…
- Obtain copies of each individual budget (Private Pay, State Line Item and Wavier).
- Review each budget to ensure budget is correct, appropriate and will cover purposed services.
- If deemed necessary…work with Program Coordinator, Service Coordinator, Quality Assurance and/or Waiver Manager as budgets need created, renewed, updated and/or corrected.
- Coordinate budget units with Program Coordinator / Service Coordinator for programming / scheduling purposes.
- Coordinate with Program Coordinator / Service Coordinator when budget units need adjusted for individuals.
- Enter billing data in a timely manner based upon agency procedures.
- Oversee units of services for individuals on caseload (daily / weekly) to insure services provided do not exceed set limits and are billable.
- When necessary…work with the Accounting Department to verify and/or correct any billing issues.
Other Duties…
- Act in the role of staff supervisor during times the Adult Program Coordinator / Service Coordinator is not on-site.
- Provide group and/or individual instruction, within the facility, community and/or individual’s living environment during times there is a shortage of direct care staff.
- Assist Program Coordinator / Service Coordinator in maintaining up-to-date case files in accordance to agency policy on record keeping and timelines.
- Assist Adult Program Coordinator / Service Coordinator in maintaining petty cash for respective facility and consumers.
- Maintain consumer payroll (remuneration) as well as provide support in coordination with the Accounting department
- Oversee direct care staff and/or van drivers that provide transportation services to individuals
- Coordinate transportation coverage when direct care staff / van driver is unavailable to complete his/her route. This may include but is not limited to: finding a new driver for the route, filling in as a driver, rearranging individuals on routes to minimize the number of routes for the day, etc.
- Coordinate transportation routes and vehicle maintenance as needed.
- Represent the agency in a professional manner by greeting agency guests and visitors in a courteous, pleasant manner
- Provide all clerical services that are required for the operation of the facility – Clerical duties may include but is not limited to:
- Filing / copying / faxing / e-mailing / answer phones / etc.
- Operating necessary equipment such as computer / printer / copy machine / fax machine / etc.
- Order office / medical / programming supplies as required for the facility
- Answers the telephone in a professional, courteous, pleasant manner. Refers request for information to the appropriate staff person(s).
- Adhere to the policies and procedures of Child Adult Resource Services, Inc.
- Participate in agency activities as assigned by the CEO, Leadership Team and/or Immediate Supervisor.
- Attend all in-house or outsourced trainings as assigned by CEO, Leadership Team and/or Immediate Supervisor.
- Maintain confidentiality of information according to agency policy and procedure
- Exhibit cooperation, courtesy and a professional attitude in interaction with all staff, clients and the general public
- Observe safe work practices. Report safety concerns to C.A.R.S. Safety Committee
- Perform any other necessary and/or related duties as assigned by the CEO, Leadership Team and/or Immediate Supervisor.
