The Position:
We are seeking a full-time temporary Medical Records Specialist our billing department. This position will have primarily administrative responsibilities for the daily function of the medical records department.
What You’ll Do:
- Enter admission paperwork and open new cases in Exym and IBHIS systems.
- Close cases where treatment does not continue post-intake and ensure proper documentation (Notice of Adverse Benefit Determination).
- Process authorizations for information release after the intake period.
- Manage and track the creation, sending, and collection of 18 packets for clinicians, entering data into Exym.
- Update client status changes (e.g., address, phone numbers, guardianship) in Exym and IBHIS.
- Maintain the client electronic health record (EHR) by uploading documents and ensuring an organized chart room.
- Run monthly reports for expired PFIs, track and update information in Exym and IBHIS systems.
- Track Out of County Medi-Cal (SB785) cases and coordinate timely service approvals.
- Manage client chart check-in/out, notifying staff of overdue charts and updating the system.
- Provide back-up for record requests, reception coverage, and other operational duties as needed.
- Hours: Monday-Friday, 9:00am – 6:00pm (1-hour meal break)
- Temporary Contract: 3-month term as needed (subject to change)
- Fully onsite
- Salary: $19.00 - $20.00 per hour
Qualifications
- Bilingual Spanish and English required.
- A minimum of 2 years’ experience in a medical, administrative, or mental health agency office setting.
- Computer literary including proficiency in Microsoft Office Applications, such as Excel, Word, and Access.
- Ability to work collaboratively in a team-based setting
- Detail-oriented, analytical, demonstrate accuracy and thoroughness, resourceful, reliable, able to adhere to deadlines, self-starter and be able to work independently.
- Must have a good sense of judgment as pertaining to the position.
- Must have relevant medical billing experience, preferably in mental health.
- High School Diploma or GED required. Some college preferred.
