SUMMARY OF DUTIES

The Events & Community Relations Specialist is a vital member of the Office of Advancement, which encompasses Fundraising and Communications. This position reports to the Director of Events & Community Relations and works with the Advancement Team to execute fundraising and community relations activities. The Specialist is responsible for the following:

  • Event
    • Working with the Advancement team, CFS Guild, volunteers, and multiple contractors and vendors.
    • Assists in the planning and execution of new and established fundraising and donor relations events and activities. This includes planning and execution of event logistics from start to finish and post event, acknowledgement, assessment, and fiscal reconciliation.
    • Collaborates on executive, board and board committee related events and activities as assigned. This includes logistics coordination and support when needed.
    • Partners with Communications team on all event related collateral, event marketing and promotions.
    • Liaison between internal/external stakeholders and contract vendors.
    • Responsible for tracking and maintaining events budgets with reasonable cost of funds raised and ROI.
    • Strong time management skills, works well under pressure and with multiple deadlines.
    • Uses timelines and collaborates effectively with sponsors, partners, vendors, and volunteers to ensure deliverables are met.
    • Collaborates with internal and external partners on the branding of and production of all event collateral and benefits.
    • Assists with communications and donor/sponsor relations.
  • Community Relations
    • Assists the Director with community/corporate volunteer inquiries and opportunities statewide.
    • Liaison to the CFS Guild, the volunteer force of the organization.
    • Must effectively communicate the CFS mission and impact and will be required to speak about CFS at community events and meetings.
    • Collaborates with internal partners in the Office of Advancement to identify and implement acknowledgement/recognition of groups and volunteers.
    • Responsible for management of Activity Endorsement and In-kind forms.
    • Helps to plan, collaborate and execute volunteer training and recognition events and activities.
    • Works under the direction of the Director to ensure proper stewardship of corporations and individual donors.
    • At the direction of the Director, recruits community clubs and organizations, to garner support for CFS.
    • Partners with Communications Team to effectively promote and execute endorsed community events and activities.
  • This position requires consistent and predictable attendance. Must have transportation and the ability to work evenings and weekends to support and execute [fundraising] events and public awareness activities of the organization.

EDUCATION AND TRAINING REQUIREMENTS

  • Four-Year College Degree from a school accredited by a recognized accrediting agency - general major. Requires basic knowledge or training in a specialized or technicalfield or trade, such as social work, professional accounting, finance, business administration, and marketing.
  • Other (Specify): Project Management Certification - Preferred

EXPERIENCE

  • Over two years, up to and including four years.
  • Other (Specify): Over four years, up to and including six years is preferred.

SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Proficient in the use of Microsoft Office programs and applications
  • Exceptional communications skills including written, oral, listening
  • Working knowledge of donor relations management software
  • Experienced in managing, training and recognizing [acknowledging] volunteers.
  • Highly organized and deadline oriented with project management experience
  • Effectively manage multiple priorities with competing deadlines
  • Ability to think outside of the box and use structured problem-solving techniques to identify solutions
  • Strong critical thinking skills and ability to manage people and relationships

OTHER POSITION REQUIREMENTS

  • This job requires a valid Hawaii driver's license, a clear driver's abstract, and willingness to travel in personal vehicle on an as-needed basis throughout the island.
  • This position is subject to a criminal background investigation and continued employment is contingent on a record clear of convictions.
  • Regular contact with subordinates, other departments, and persons and organizations outside the organization to supply or seek information and reports. Requires use of tact and discretion. May present data and reports at meeting.
