About the Role
We are seeking a highly skilled and organized Program Secretary to join our team at Child & Family Service. As a key member of our administrative team, you will provide essential support to our Program Directors and Island Directors, ensuring the smooth operation of our programs and services.
The ideal candidate will have excellent communication skills, be able to work effectively in a fast-paced environment, and possess a high level of confidentiality. You will be responsible for maintaining accurate files, managing office supplies, and performing a variety of clerical duties to support the success of our organization.
Key Responsibilities
- Maintain office communication by answering telephone calls, taking thorough messages, and interacting with peers in an effective and supportive manner.
- Provide exceptional customer service to staff, visitors, and participants, ensuring their needs are met promptly and efficiently.
- Establish and maintain accurate files, including case records and master cards, and keep daily records of staff absences and appointments.
- Manage office accounts, complete periodic reports, and type letters, memos, and reports from rough draft to finished copy.
- Perform a variety of clerical duties incidental to the position, purpose, goals, and objectives of the Program Administrator or Program Director.
