Job Summary of Executive Team Assistant:
To provide high quality administrative support by conducting research, preparing reports, handling requests for information and performing clerical functions such as completing correspondence, receiving visitors, arranging conferences and scheduling meetings, overseeing administrative assistants training, overseeing Safety drills of each site, responsible for Board of Directors reports and correspondence, participating in committees and fundraising as assigned.
Essential Duties and Responsibilities of Executive Team Assistant:
- Manages an active office, develops and maintains file and record management systems, and supports agency executive staff, fellow team members and agency employees.
- Performs general office duties such as record management systems; preparing reports, memos, letters and other documents using word processing, power point, spreadsheets and databases; maintaining the appointment calendar; and ordering supplies.
- At the discretion of the President/CEO, coordinates and provides administrative support for the Board of Directors and members of the Executive Team.
Requirements
Education and Experience Requirements of Executive Team Assistant:
- An Associate of Arts degree with at least 5 years of secretarial experience supporting senior level management is required.
- Proficient computer skills, using MS Office Suite, Internet protocol and various software programs is needed, along with the ability to input at least 75 correct words minute.
- Must be able to demonstrate and maintain a high degree of confidentiality.
Preferred Education and Experience of Executive Team Assistant:
- BA-degree in office management is preferred, along with 5 years of secretarial experience
