Job Title: Volunteer Coordinator
Reports to: HR Director
Status: Full-Time Exempt - 12-month position
Position Purpose:
The Volunteer Coordinator will administer all aspects of the agency's volunteer program including recruiting new volunteers and promoting volunteer opportunities to convey the agency's purpose to the public, while upholding the Values and Mission of Child, Inc. The Volunteer Coordinator reports to the Human Resources Director and serves as part of the Human Resources team.
Supervisory Responsibilities:
- Recruits, interviews, screens, and assigns volunteer staff.
- Responsible for interns.
Essential Duties/ Responsibilities:
- Serves as primary point of contact for all requests to volunteer/collaborate with agency.
- Collaborates with Center Managers, Facilities Manager, and managers from administrative areas to identify specific volunteer needs, and plan individual and/or group projects to support.
- Teams up with agency Communications and Partnerships Manager to plan for and provide volunteers to support grants and other projects as need.
- Develops and maintains the Volunteer Policy and Volunteer Handbook; updates and modifies as needed and submits for appropriate approval prior to implementation.
- Drafts, maintains, and publishes guidelines, best practices, and codes of conduct and operating procedures to uphold the values of the agency.
- Ensures the purpose of the agency is conveyed to the public.
- Develops volunteer training/orientation program to provide to managers for use at assigned volunteer location(s).
- Recruits volunteer staff to fit these roles using outreach programs and events, emails and volunteer databases.
- Gathers information about each volunteer's skills, availability, and goals; matches volunteers with appropriate opportunities based on this data.
- Develops and maintains complete and accurate records, including volunteer applications, policies, procedures, standards of conduct, and other data concerning volunteer program.
- Facilitates volunteer clearance/background check process, and follows standard procedures for approved and unapproved clearance, as well as expiration notifications.
- Schedules, coordinates, and assigns volunteers to appropriate departments, supervisors, and/or mentors.
- Collaborates with Health & Human Services Foster Grandparent Program representative to solicit, screen (including background check), and place Foster Grandparents within the agency, according to the standard policies and procedures for volunteers.
- Ensures in-kind contributions through volunteer service hours are documented properly and submitted to the Fiscal Office for processing.
- Captures group volunteer events via digital media and shares with Social Media Manager/Website administrator.
- Regularly communicates with volunteers to ensure placement is a good fit for individual's skills and goals.
- Develops and provides to management monthly and annual reports on all individual and group volunteer activities to include the number of volunteers.
- Develops and maintain collegial relationships with peers in the field and with area volunteer organizations to ensure best practices for our volunteer and collaborative programs.
- Provides primary leadership at volunteer fairs in promoting the agency.
- Keeps new and existing volunteers informed about current volunteer opportunities within the agency.
- Coordinates volunteer recognition and appreciation events and activities.
- Responds immediately to requests from the TX Department of Health & Human Services to provide documentation and verification on volunteers.
- Performs other related administrative duties as required.

Minimum Qualifications:
- Bachelor's Degree preferred.
- Previous experience working as a volunteer with various organizations.
- Experience using Microsoft Office (specifically Word and Excel).
- HR experience in recruiting new employees or volunteers, working on teams and leadership.
Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to bend, stoop and lift up to 40 pounds at times.

Salary : $56,000 - $62,500
