Position Description:
ESSENTIAL FUNCTIONS/PERFORMANCE REQUIREMENTS:
Job Summary
The position reports to the Chief Financial Officer (CFO) providing day-to-day accounting needs of the organization. This includes, but is not limited to, assisting with the biweekly payroll process; processing vendor invoices, payments, reimbursements, and credit card charges; monitoring accounts receivable and weekly deposits; invoicing, tracking, and reporting grant expenditures; assisting in maintaining the general ledger and financial records; and assisting in monthly and annual financial closing procedures
ESSENTIAL FUNCTIONS/PERFORMANCE REQUIREMENTS:
JOB RESPONSIBILITIES
Payroll:
1. Collaborate with HR Coordinator on payroll processing. Enter biweekly PEO-provided Payroll Allocation journal entry into QuickBooks ensuring that allocations, benefits, taxes and miscellaneous expenses are correctly coded and align with organization budget and funding.
Accounts Payable:
2. Process checks request and credit card charges on a weekly basis confirming that they are properly authorized and coded according to budget and funding.
3. Reconcile credit card statement monthly.
Accounts Receivable:
4. Record all incoming deposits into QuickBooks, working with the Development Department to ensure correct coding and classifications.
5. Prepare monthly billing/invoicing with supporting documentation for all CBCST grants and contracts in accordance with contractual guidelines and policies.
6. Collaborate with Donor Relation Specialist monthly to reconcile donations and grants in QuickBooks with the donations recorded in Salesforce.
Reporting:
7. Assist in preparing financial reports for funders and governmental agencies.
8. Work with audit firm staff and CFO to support completion of annual closeout and audit.
Budgets:
9. Assist the CFO with the development of annual operating and program budgets.
Administration:
10. Assist the CFO in maintaining and updating finance policies & procedures for CBCST and CBCST Foundation as needed.
11. Other duties as assigned by the CFO
B. QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Bachelors degree in accounting or a related field; or four years of related experience; or an equivalent combination of education and experience.
- Non-profit experience of 2-3 years minimum preferred.
- Unwavering commitment to provide outstanding customer service to employees of Childrens Bereavement Center
- Excellent interpersonal skills, ability to organize and manage a wide variety of tasks with accuracy and attention to deadlines.
- Intermediate computer skills to include Microsoft Office products and QuickBooks.
- Knowledge of office equipment to include phone, computer, fax, copier, and scanner
- Must have a clean criminal background check. No crimes against other persons or property.
