About the role!
The Advancement Operations Data Specialist plays a key role in supporting Advancement operations through database maintenance, data imports, constituent record research, and systems integration. This position ensures data integrity across multiple platforms and provides administrative support in areas such as database maintenance, data management across all platforms that integrate with the Advancement CRM, and Advancement reporting.
As an Advancement Operations Specialist, your responsibilities will consist of:
Database & Data Integrity (30%)
  • Perform routine database maintenance, including duplicate record merges, contact information updates, and gift administration support.
  • Process return mail and update contact preferences.
Data Research & Record Management (15%)
  • Conduct biographical research to verify and consolidate duplicate records.
  • Maintain relationship linkages within the database, such as spouse connections.
Systems Integration Support (15%)
  • Perform record matching across various platforms that integrate with RE NXT.
  • Ensure smooth data flow between external systems and the Advancement CRM.
Data Quality Assurance & Auditing (10%)
  • Monitor and audit incoming data from multiple sources to ensure accuracy and consistency.
Administrative & Team Support (20%)
  • Track engagement activities for the community engagement team.
  • Support the marketing team with data cleanup in Salesforce Marketing Cloud (SFMC).
  • Generate and distribute donor acknowledgment letters.
Reporting & Other (10%)
  • Assists with reporting functions as directed by Advancement Manager.
  • Assist with outcomes tracking and data analysis to support Advancement initiatives.
  • Performs all other duties and responsibilities as assigned.
Additional Duties
  • Collaborates with several departments across the agency, including Development, Marketing, and Community Engagement.
  • Occasional attendance at evening and weekend activities, including special fundraising events.
  • Occasional support of other offsite events during work hours, including wellness fairs and other tabling events.
What we’re looking for:
  • Strong foundational knowledge of database architecture, relational databases, and data integration.
  • High attention to detail with the ability to work with large datasets for extended periods.
  • Strong analytical skills with the ability to communicate technical information to non-technical stakeholders.
  • Experience working with a high volume of data from various sources
  • Ability to manage sensitive information with discretion and confidentiality.
  • Excellent organizational and project management skills.
  • Comfortable working in a fast-paced, evolving environment.
  • Strong communication skills and ability to build relationships with stakeholders.
  • Knowledge of a fundraising database preferred.
  • Excellent computer skills with general knowledge of data entry and analysis. Advanced knowledge of Microsoft Office software, especially Word, Excel and Outlook.
  • Ability to not only learn new software quickly, but to stay current with emerging technologies.
  • Ability to maintain the integrity and confidentiality of data.
About your background (education/experience):
  • High school diploma or equivalent, plus two years of related experience.
  • Experience working with large datasets and data management systems.
  • Proven ability to manage multiple detail-oriented projects simultaneously.
  • Experience in a data-driven environment and expert level user of Microsoft Office.
  • Experience with Raiser's Edge/NXT preferred but not required.
Working Conditions
Physical Demands:
  • An employee in this position may be required to occasionally lift, move and/or set-up supplies for events, or stacks of documents such as marketing collateral, flip charts and other materials. Employees will also be required to work for extended periods of time at a computer.
Special Job Requirements:
  • Occasionally required to work on evenings/weekends at special events. Must be able to commute to offsite meetings and events. This will require weekly on-site presence at our Palo Alto Campus.
Compensation:
Range: $65,000-$75,000 per year
Pay Type: salary
  • The starting base salary for this position is as shown above. The actual base salary is dependent upon a variety of job-related factors such as professional background, training, work experience, location, business needs, and market demand. This pay range is subject to change and may be modified in the future.
