Job Description: As an Office Manager at Chip Star Technology, you’ll play a crucial role in keeping our operations running smoothly. You’ll oversee various administrative and operational duties, including managing shipping and receiving, generating quotes, processing orders, and utilizing QuickBooks for invoicing and financial tracking. In this hands-on role, you’ll contribute directly to the growth and success of the business by ensuring efficiency across multiple departments.
Key Responsibilities:
- Shipping & Receiving: Manage all incoming and outgoing shipments, coordinate logistics, prepare packages, track shipments, and work closely with shipping carriers.
- Order Management: Process and track customer orders, ensuring they are fulfilled accurately and delivered on time.
- Quoting: Prepare and provide accurate quotes to customers based on product pricing, shipping costs, and lead times.
- QuickBooks: Use QuickBooks for invoicing, accounts payable/receivable, financial tracking, and general accounting tasks.
- Customer Service: Provide exceptional customer support via phone and email, addressing inquiries, resolving issues, and ensuring customer satisfaction.
- Inventory Management: Monitor inventory levels for office supplies and products, placing orders to maintain appropriate stock.
- Administrative Support: Handle general office tasks, including scheduling meetings, managing office correspondence, and organizing filing systems.
- Vendor Relations: Work with vendors to manage product deliveries, negotiate prices, and handle returns or exchanges when necessary.
Qualifications:
- Proven experience as an Office Manager or similar role, with expertise in shipping, receiving, quoting, order management, and QuickBooks.
- Strong proficiency in QuickBooks, with experience in invoicing, accounts payable/receivable, and financial tracking.
- Highly organized, with the ability to manage multiple priorities and deadlines.
- Excellent communication skills, both verbal and written.
- Attention to detail and a commitment to accuracy.
- Ability to work both independently and collaboratively in a team environment.
- Strong computer skills, with proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with logistics and order processing is a plus.
Preferred Qualifications:
- Previous experience in a technology-driven industry or similar sector.
- QuickBooks certification or related accounting certification.
