Key Responsibilities:
EMPLOYEE SUPPORT
- Onboards new employees using Monday.com tracking system and Workbright Onboarding website, while maintaining continual communication between the new hire and HR Generalist.
- Supports HR Generalists in the position posting process.
- Adds new employees to all necessary websites (GCN, CrisisGo, email creation, Workbright, SDS, Sex Offender check, Child Care Background Check system, etc., as needed) and completes the onboarding checklist.
- Provides HR Generalist with an update once the new hire has completed all onboarding paperwork and is cleared to begin work at the school.
- Assist employees with preparing, reviewing, processing, and/or maintaining various records.
- Responds to employee questions in a timely manner.
- Maintain confidentiality of all company employee personnel information and other confidential information.
- Use and update SDS and Workbright employee databases and other software.
- Administers established employee relations plans to ensure that employees are celebrated and appreciated.
- Is considered Tier 1 support for all HR-related questions and responds via HR ticketing system.
- Oversees workers' compensation claims to ensure timely and accurate processing, compliance with legal regulations, and fair outcomes for employees and the organization.
- Keeps up-to-date records for employee clinics for Workers' Compensation purposes
- Maintains detailed records and reports for audits, compliance purposes, and strategic planning as it relates to Worker's Compensation.
COMPLIANCE
- Maintains school compliance spreadsheets and binders for the assigned schools.
- Prepares the Registry of Educational Personnel (REP) for Generalist approval and submission.
- Tracks all professional certificates and licenses to receive updated copies.
- Processes and tracks substitute permits to ensure compliance.
- Supports educators in collaboration with generalists through established pathway programs, including alternative pathways and other Grow Your Own Programs.
- Provides support staff with resources for position specific requirements, if they are interested in advancing their careers within the organization.
- Maintains position-specific compliance tracking for assigned school departments (transportation, nutrition, childcare/GSRP, custodial, KIPP Teams, BTAM, and more).
- Runs ad-hoc reports in Workbright to track the completion of various forms, including offer letters and employee manual receipts.
- Keeps an ongoing and updated list of all required and mandatory paperwork for employee personnel files.
- Plans and implements the Department of Labor Drug and Alcohol Random Drug and Alcohol testing process, Motor Vehicle Records check, and Driver clearinghouse process annually.
- Maintains file of pictures of employment law & sexual harassment posters for each school site.
- Monitors monetary balance in fingerprinting accounts on a biweekly basis and requests funds from accounting as needed.
- Completes unemployment paperwork for the individuals previously employed at the assigned schools.
- Sends receives and logs unprofessional conduct request forms for newly hired employees prior to their start date. Follows up on missing unprofessional conduct forms every 30 days.
- Manages child care licensing requirements to ensure compliance.
- Completes annual required reports for the organization (EEO-1, OSHA 300, etc.)
- Attends professional development seminars to increase knowledge of Human Resources.
- Contributes the continuous improvement and documentation process for all HR activities.
- Consistently uphold and promote the organization's core values, serving as role models for ethical behavior and cultural alignment.
- Other duties as assigned.
REQUIREMENTS:
- Associates degree required; Bachelor's degree preferred
- Highly organized and detailed
- Competent in Google Suite and Microsoft Office, computer literate, and able to quickly learn new software systems
- Ability to effectively resolve complicated complaints, inquiries, and issues in a professional manner
- Effective communicator in both oral and written form.
- Strong interpersonal skills and adept at establishing and maintaining good rapport and working relationships at all organizational levels
- Demonstrated appropriate customer service attitudes and services in a variety of work settings
- Demonstrated ability to act independently upon information and make decisions that achieve optimal results.
Location: Primary office - 5251 Clyde Park Ave SW, Wyoming, MI 49509 - Hybrid schedule available
Schedule: Hourly, Full-time, year-round, 5% travel within the State of Michigan.
