Office Manager – Real Estate Law Firm (Union Square, NYC)

If so, we invite you to apply for our full-time, in-person Office Manager position at our client's thriving real estate law firm in Union Square, NYC .

The firm is a collaborative and client-focused law practice specializing in real estate transactions, representing buyers, sellers, and developers. The firm fosters a positive, team-oriented culture , and are looking for an individual who is proactive, detail-oriented, and an exceptional communicator to oversee office operations and administrative support.

What You’ll Do :

  • Serve as the first point of contact – managing front desk responsibilities, answering calls, and greeting clients professionally.
  • Own the calendar – coordinate and schedule appointments for three attorneys with precision.
  • Prepare and manage engagement letters , ensuring timely client payments.
  • Track retainers and payments on a weekly basis.
  • Scan, organize, and maintain all legal files both physically and digitally.
  • Oversee scheduling of meetings and calls , ensuring seamless coordination.
  • Handle client communications and interactions with professionalism and warmth.
  • Prepare mailings, cover letters, and office correspondence .
  • Manage office supplies, vendor contracts, and service providers .
  • Provide administrative support to three attorneys and four paralegals.
  • Assist with basic IT support when needed.
  • Set up and maintain files in Clio and Lawmatics .

Who You Are :

  • A strong communicator with exceptional verbal and written skills .
  • Highly organized, detail-oriented, and proactive in managing office operations.
  • A team player who thrives in a fast-paced environment.
  • Tech-savvy , comfortable with Apple MAC systems and key office platforms.
  • Experienced in handling client interactions with professionalism and poise.
  • Someone with previous experience managing an office or  working in a law firm .
  • Technology & Tools We Use :

  • Clio (Practice Management)
  • Lawmatics (Client Management)
  • Microsoft Outlook, Teams, OneNote
  • Canva (for marketing and social media assets)
  • Apple MAC systems
  • Compensation & Benefits :

    Salary : up to $70,000
