Must have extremely strong problem solving and communication skills in order to research and answer HR related questions from employees.

Summary
The Human Resources Assistant is responsible for assisting with the administration of the day-to-day operations of the Human Resources Department.
Responsibilities:
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to:
- Assist with the day-to-day efficient operation of the HR office.
- Primary point of contact for basic employee inquires and paperwork.
- Meet employees when they drop off paperwork; process accordingly or provide to the correct department
- Provide employee with copies of blank documents
- Maintain adequate supply of all forms necessary for the department.
- Prepares all documentation for new hire orientation.
- Conducts new hire orientation.
- Responsible for providing a summary overview of eligible benefit offerings to all new hires.
- Process requests to hire with department directors and finance department.
- Coordinate with managers to ensure that job descriptions are up-to-date and accurate; Work closely with hiring managers to define position descriptions and job requirements.
- Prepare and maintain job postings for exempt and non-exempt positions; manages multiple job openings concurrently.
- Review candidates in the ATS (Paycor); complete phone screenings for qualified applicants; recommend for on-site interview. Schedule and coordinate onsite interviews with management team.
- Schedule and lead feedback sessions with hiring managers when applicable.
- Ensure the pre-employment/new hire process is completed in an effective and efficient manner; follow up with candidates when needed.
- Ensure completion of all reference checks and background checks; ensure employee is ready to start on anticipated start date.
- Enter all employee data (including but not limited to: requirements, benefits, new hire information and change of status information) into the HRIS (ADP, Paycor, Relias).
- Process all new hire paperwork with payroll/finance.
- Process benefits transactions using the ADP/Paycor system. Communicate with the Finance / Payroll Department on benefits administration procedures to assure proper deductions are withheld.
- Process employee termination in ADP and coordinate termination with payroll. Sends termination notification email.
- Enter benefits information into 3rd party carrier system.
- Verify, process and maintain I-9 documentation.
- Complete all HR filing in an effective, accurate and efficient manner.
- Maintain all employee personnel and medical files; ensuring compliance with federal and state laws in addition to all applicable monitoring sources and organizational standards.
- Creates offer letters for new hires.
- Creates departmental MEMOs including but not limited to: Training Standard Processes, Change of Status etc.
- Audit files as needed and/or as requested. Retrieves and presents employee files for program audits.
- Create and maintain personnel files for all staff.
- Responsible for student and volunteer recruiting, coordination and orientation to the agency.
- Completes all verifications of employment in a timely manner (new hires and internal/external requests).
- Work closely with Supervisors and Directors to ensure performance reviews are being conducted in a timely manner; send out monthly report.
- Resolves staff/manager inquires/concerns/questions/problems with ADP time and attendance.
- Assist with the coordination of employee training as needed.
- Assist with Benefit Open Enrollment.
- Performs HR related projects are required.
- Assists with HR projects as needed.
- Prepares HR reports as requested and required.
- Performs other duties as assigned.
