The Role The Americas Proposals Department is a key team in Christie’s Business Development Group. The Proposals team collaborates with colleagues across the business--Specialists, Business Managers, Digital, Marketing and other key stakeholders--to convince potential consignors that Christie’s is the best choice to sell their property. Our dedicated team of writers and designers creates bespoke proposal documents and pitch presentations for high-value property and important collections across categories. The Coordinator is an essential member of this business-critical team, and the role represents an excellent opportunity to learn about all aspects of the auction industry and business development process. The function of the Coordinator role is to support the department and Department Head in all organizational tasks, project completion and supply coordination, while also ensuring that all department statistics and reports are kept up-to-date. Specific duties and responsibilities will include but are not limited to: Provide daily administrative assistance to Head of Department including answering telephone calls, departmental correspondence, scheduling, taking minutes, submitting expense reports, maintaining proposal records. Maintain and organize digital Proposals server as well as physical department library. Manage/order departmental supplies including Proposal boxes, covers, printed materials, labels, files and other items as needed for the department. Assist with preparing reports/evergreen documents as well as independent writing projects as needed. Proofreading, filing, light bookkeeping, scanning images, photocopying and delivering drafts of proposals. Proactively track, update, and create overview spreads for a variety of reports including Post-Sale Reports, Artist Reports, Estate Reports, Genre Reports, statistical databases, etc., as determined by manager. Interact with Specialists and their assistants to gather information and feedback. Liaise with IT and Sharepoint team when issues arise in the department. Oversee monthly proposals report and compile quarterly reports. Other duties as assigned by manager. The Candidate Must have a Bachelor of Arts degree. Entry level position but prefer at least one work experience in either a Proposals or Business Development role. Must be fluent in English. Must have knowledge of Mac computers and be proficient in software programs such as InDesign, Excel, Word, Photoshop. Should have excellent writing/communications ability. Should possess strong analytical skills so as to analyze a variety of statistics relating to Christie’s performance. Should have relevant work experience at an auction house or art gallery. Should have excellent organizational skills. Should have the ability to work under extremely tight deadlines and intense pressure. Should be motivated, extremely efficient, proactive and a great team player. Must demonstrate careful attention to detail.
