Why This Role Matters
The primary function of this role is to act as the project manager for the execution of sales by monitoring and tracking all activities and elements related to New York Old Master Drawings Sales throughout the year, as well as acting as the Private Sales Coordinator for the Americas. The duties are varied, and will follow the cycle of the private sales and auction calendars, as well as certain duties to support overall department activity.
How You'll Make an Impact
Work closely with International Business Director, Head of Private Sales in the UK to manage all Old Masters Group private sales within the Americas. This includes, but is not limited to, creating contracts by liaising with Legal and Private Sales Service Center, arranging shipments, reaching out to 3rd parties for restoration, framing and cleaning needs
Liaise with clients as needed for all consignment related information, details, and issues
Coordinate seller agreement and stock order creation for both private sale and auction property, and dispatch including gathering all compliance documents from clients
Coordinate and track status of private sale and consignment paperwork to ensure compliance requirements are met and required records are maintained
Coordinate shipping requests, including client approvals, export licenses, and scheduling
Proactively track receipt of property, manage property movement, and follow-up on open issues and missing items
Coordinate expertise, framing and restoration needs for both private sale and auction property, including quote requests, client communications, status of service requested and related client charges
Attend weekly meetings with New York Old Master Drawings team to run through ongoing business, pipeline and proactively allocate resources in anticipation of deadlines
Manage and track client charges
Support Specialists with catalogue production process photography, lotting up and copyright status; monitor and enforce all relevant deadlines; act as main point of contact and liaison with photography studio, production teams and International Specialists
Track and ensure execution of marketing promises
Act as liaison to Operations for private sale and auction views, set up and prepare relevant assets as required
Accountable for reserve amendments and ensure relevant pre-sale documentation is sent to client
Accountable for sale activities including client views, condition report dispatch, bids
Work with Client Strategy to support and oversee sale interest tracking
Participate in telephone bidding as needed
Convey approved post-sale item action to Post-Sale Service team for execution
