FF&E Procurement Manager/Office Administrator – Raleigh, NC

We are currently seeking a motivated and experienced FF&E Procurement Manager/Office Administrator to work full-time in our Raleigh, NC office. This position will work closely with the Director of Interior Design & Procurement. The FF&E Procurement Manager/Office Administrator will responsible for the daily operations, management, and logistics related to the FF&E (Furniture, Fixtures, & Equipment) for various commercial and residential projects. This position requires prior experience with FF&E procurement, or working in a similar role, preferably within the A/E/C or other professional services industry.
Responsibilities and Requirements:
· Manages the expediting, coordination, logistics, and project accounting throughout the lifecycle of various commercial and residential FF&E design projects.
· Engages and communicates effectively and timely with the design staff throughout the various phases of a project including the FF&E selection, specifying, pricing, and presentation phases.
· Work with various vendors and manufacturers to obtain and track accurate FF&E pricing, create and process FF&E purchase orders, and manage and coordinate the FF&E procurement throughout the expediting and installation phases.
· Maintains and provides accurate detailed budget reports and updates to the project team and client (as needed) throughout a project.
· Coordinates shipping, receiving, inventory, and warehousing of procurement orders.
· Coordinates delivery, and installation of procurement orders with the project team and delivery and installation teams.
· Works with the project team during the FF&E close-out of FF&E projects, including final inventory and accounting.
· Works internally to reconcile the final accounting of the FF&E for a project and communicates a final reconciled report for the client and with the Accounting team.
· Tracks, submits, and coordinates payment of monthly or quarterly Sales & Use Tax payments as needed after final closeout of an FF&E project.
· Provide general administrative support as needed for the Raleigh Office. Screen and direct incoming phone calls and greet/welcome guests.
· Perform clerical duties, such as drafting documents, creating transmittals for outgoing materials, generating reports, scanning, and filing.
· Schedule and coordinate large meetings and project-related travel.
· General office management includes keeping conference rooms, lobby, print room and kitchen areas neat and clean. Also tracking and management of supplies for the office.
· Assistance with event planning, managing shared calendars, and conference room schedules.
· Answer emails and calls and direct them to relevant staff.
· Assist with Human Resources with on-boarding new employees, train new office employees and organize their employment paperwork.
