Administrative and Accounting Officer
CIMA Financial Regulation Consultants, LLC is a premier service provider of domestic and international consulting services focused on securities and banking regulation compliance.
As the Administrative and Accounting Officer at CIMA Financial Regulation Consultants, you will support Management in ensuring the efficient operation of our Firm. You will be responsible for a variety of administrative and financial tasks, bookkeeping and invoicing services for our Firm and our clients. You will provide support to clients in the onboarding of new banking clients and account opening procedures and provide administrative support to CIMA Consultants through a variety of tasks related to documentation and client service.
Key Responsibilities:
- Support Management of day-to-day office operations.
- Coordinate and schedule meetings, appointments, and travel arrangements.
- Bookkeeping.
· Reconciliation: Reconcile bank statements with company records to ensure accuracy.
- Assist with budget preparation and financial reporting.
- Maintain accurate and organized records of financial transactions.
- Provide administrative support to the management team.
· Support audits and tax filings.
· Invoicing services: Prepare and send invoices, track payments, and follow up on overdue accounts and reconcile payments for our RIA clients.
· Provide support on Onboarding of new banking clients and account opening procedures. Responsibilities include data entry, paperwork processing, background checks on prospective clients and corresponding and coordinating with clients and accounting custodians.
- Handle confidential information with discretion and professionalism.
- Ensure compliance with company policies and procedures.
Qualifications:
- Bachelor’s degree in business administration, Finance, Accounting, or a related field.
- Minimum of one year of experience in bookkeeping.
- Experience working for a corporation or experience working in the finance field preferably but not required.
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
- Bilingual is highly preferred. English is a requirement and Spanish and Portuguese would be preferable. Especially the ability to read and understand in both languages.
- Strong organizational and multitasking skills.
- Excellent computer proficiency (MS Office – Word, Excel, Power Point and Outlook, and Adobe Acrobat Pro) and accounting software (QuickBooks) is a must.
- Must be client oriented and very detail oriented.
- Ability to work independently and as part of a team.
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude.
· Strong excel and data analysis skills.
