Role Description
This is a full time on-site role as a Commercial Property Coordinator with CINCH Commercial Real Estate. The Property Coordinator will be responsible for managing day to day issues, meeting onsite with tenants and vendors, providing customer service, assisting with administrative tasks, and handling lease administration.
We are seeking a motivated and detail-oriented Commercial Property Coordinator to join our property management team. The ideal candidate will be responsible for supporting the day-to-day operations of a portfolio of commercial properties, ensuring high standards of tenant relations, maintenance, leasing, and administrative functions. The coordinator will serve as a liaison between tenants, property management, and vendors, ensuring smooth operations, compliance with leases, and efficient management of property-related tasks.
Key Responsibilities:
Tenant Relations:
- Serve as the primary point of contact for tenants regarding inquiries, service requests, and maintenance issues.
- Coordinate and schedule tenant move-ins and move-outs.
- Assist with lease administration and ensure tenant compliance with lease terms and conditions.
- Address tenant complaints and resolve issues in a timely and professional manner.
Property Operations:
- Assist with the management of daily building operations, including maintenance, security, and safety protocols.
- Coordinate and oversee routine and emergency maintenance requests, ensuring quality control and timely resolution.
- Monitor the cleanliness and condition of common areas and building amenities.
- Assist in vendor selection, management, and communication for property maintenance, janitorial, landscaping, and other services.
Leasing Support:
- Assist the leasing team with preparing lease documents, renewals, and amendments.
- Coordinate property showings and facilitate the leasing process for prospective tenants.
- Prepare and distribute marketing materials for vacant spaces.
- Maintain accurate records of tenant leases, payment schedules, and occupancy status.
Administrative Duties:
- Manage tenant database, keeping up-to-date records of leases, contacts, and correspondence.
- Process rent payments, track accounts receivable, and assist with billing and collections as needed.
- Maintain property files and ensure compliance with legal and regulatory requirements.
- Prepare and distribute regular property management reports on occupancy, maintenance status, and financial performance.
Financial Tracking & Reporting:
- Assist with budgeting and tracking of property-related expenses and income.
- Help prepare financial reports for property owners, including monthly and quarterly updates.
- Support the management team in preparing forecasts, budgets, and capital improvement plans.
Qualifications:
- Education: High school diploma or equivalent required; associate’s or bachelor’s degree in real estate, business administration, or a related field preferred.
- Experience: 2 years of experience in commercial property management, real estate, or a related field.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and property management software.
- Detail-oriented with the ability to handle confidential information.
- Strong problem-solving abilities and the ability to work under pressure.
Working Conditions:
- This position may require occasional evening or weekend hours, especially for emergency situations or tenant-related issues.
- Travel between properties will be required.
