What are the responsibilities and job description for the HS Intake Specialist position at Cincinnati-Hamilton County Community Action Agency?
ESSENTIAL JOB FUNCTIONS:
Under General Supervision:
• Following the designated intake communication plan, makes contact with families who have
expressed interest in the Head Start Program to begin the application and intake process.
• Conducts in-person or phone interviews and collects all required documents to verify eligibility
according to the Head Start ERSEA Performance Standards; discusses program options with the family.
• Enters appropriate information into the Child Plus database and prepares participant records for
eligibility verification; ensures the accuracy of all eligibility documentation, data, and
participant eligibility records.
• Maintains and manages a participant caseload as assigned by designated site, and as prescribed
by the Centralized Electronic Application process.
• Maintains accurate status of all program leads in the Child Plus database.
• Provides guidance and instruction to decrease barriers for parents completing the application
process.
• Acts as a liaison between families and programs, ensuring a seamless transition from inquiry to
enrollment.
• Maintains confidentiality.
• Ability to work occasional evenings and weekends for recruitment and outreach
activities.
• Participation in Head Start and CAA agency functions that either pertain to specific job
functions, related training or cooperative activities with internal and external entities and/or
constituents (i.e. Village Retreat, In-Service, All Staff Meetings, other events/activities upon
request)
QUALIFICATIONS AND REQUIREMENTS
• High School diploma; Associates degree preferred
• Two years of experience in case management, call center or intake roles
• Effective oral and written communication skills; ability to communicate effectively with parents
of Head Start aged children
• Proficiency in database management and Microsoft Office
• Experience working with diverse populations, including low to moderate-income families
• Strong organizational skills and the ability to multi-task and prioritize duties
• Basic math comprehension
• Valid driver’s license and automobile insurance
