Position Overview

The Practice Manager reports to the Executive Director with accountability for providing strategy, judgment, organization, and evidenced-based analysis to influence decisions, and directly to meet Care Medical Practice requirements. They should embody Care Medical Practice’s core values, including, Trusted, Empathetic, Committed, Humble, Creative and Community-Minded. At Care Medical Practice, we don’t have patients or customers – we have Family Members. As part of a leadership in conjunction with the Executive Director, the Practice Manager facilitates the day-to-day operations across the Company, including managing patient, staff and provider interactions and maintaining a service-based approach to issue resolution. Leveraging strong practice management experience, this leader collaborates with Clinical Leads and Providers to promote the highest standards of quality of patient care by appropriately resolving issues at the practice level. The Practice Manager proactively provides support and training to staff, while encouraging their abilities to effectively address triage calls and service recovery.

Key Responsibilities

The Practice Manager will have the following responsibilities:

  • Oversee all clinical support staff and day to day office operations
  • Receive and understand direction on clinical processes and competencies from clinical operations leadership and disseminate updates and new protocols to staff
  • Assist with the onboarding, launch and integration of new clinics and lines of business
  • Function as key communication point within the practice and among providers
  • Act as initial point of escalation for any staff, provider, or patient concern
  • Ensure success on practice Key Performance Indicators (KPls)
  • Lead clinical staffing assignment and alignment
  • Provide clear and consistent communication with employees
  • Ensure clinical staff meetings and huddles are performed successfully
  • Develop strong relationships with staff and leverage relationships to assist staff with understanding and interpreting organizational and clinical changes positively
  • Supply management and delegation as required
  • Ensure appropriate orientation of new employees and facilitate on-going training and development of staff to meet changing needs and organizational demands
  • Complete annual and mid-year employee evaluations for staff, as directed
  • In conjunction with Talent Acquisition, lead the recruitment, selection and hiring process for staff positions
  • Proactive involvement in employee mentoring, coaching, and discipline
  • Accountable for understanding and executing against the Practice Operating Plan
  • Responsible for performance against practice budget
  • Responsible for bi-weekly coordination of all employee payroll
  • Assist the Providers in delivery of patient care, work with provider to resolve all emergent clinical support issues in a timely manner
  • Monitor the patient flow to identify gaps and partner with nursing leadership to address appropriately
  • Accomplish all tasks appropriately assigned or requested

The Practice Manager will have the following duties:

Leadership: The Practice Manager will lead in defining and executing strategies and solutions to create business value, including building a team to design, develop, and execute those strategies and solutions to deliver desired outcomes.

Strategy: The Practice Manager will establish the business strategy and roadmap: (1) improve outcomes for Care Medical Practice Family Members; (2) enhance the efficacy of other Care Medical Practice. business divisions; and (3) develop and deliver external market opportunities for Care Medical Practice products and services. In establishing the business strategy, the Practice Manager will define and innovate sustainable revenue models to drive profitability of the Company.

Collaboration: The Practice Manager will ensure that capabilities form a cohesive offering, including by working closely with other business divisions to learn their needs, internalize their knowledge, and define solutions to achieve the business objectives of Care Medical Practice.

Knowledge: The Practice Manager will provide subject matter expertise in solutions, including determining and recommended approaches, solution deployment and performance evaluation.

Culture: The Practice Manager is accountable for creating a productive, collaborative, safe and inclusive work environment for the team and as part of the larger Company.

Required Qualifications

The Practice Manager should have the following qualifications:

Education/Experience:

  • Bachelor's degree or equivalent experience
  • 3 years or more of clinical or administrative experience in primary care or similar practice setting
  • 1 year or more of supervisory experience
  • Previous experience managing multiple businesses or locations
  • Experience performing under pressure with a sense of urgency, attention to detail, and a commitment to completing all tasks assigned.

Technological Skills:

  • Proficient in Microsoft Office
  • Experience working with accounting software

  • A keen sense of personal accountability for delivering individual and team results
  • Proficient building and tracking budgets

  • Entrepreneurial: Care Medical Practice seeks to fix gaps that have persisted for generations in the delivery of care to Black and Brown populations. This position is accountable for ensuring Care Medical Practice is positioned to innovatively deliver on its promise.
  • Communication: Excellent verbal, written communication and presentation skills; ability to clearly articulate and present concepts and models in an accessible manner to Care Medical Practice's team, investors, partners, and other stakeholders. Proficiency in all Microsoft Office applications.
  • Relationships: Ability to build and effectively manage relationships with business leaders and external constituents; and,
  • Culture: Good judgement, impeccable ethics, and a strong team player; desire to succeed and grow in a fast-paced, demanding, and entrepreneurial Company.
