Job Duties and Responsibilities
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary. Take detailed meeting minutes.
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, building office furniture and preparing communications on the executive’s behalf.
- Collect, scan, and distribute mail.
- Book travel arrangements, including conference/ event tickets, hotels.
- Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure. adequate levels of necessary supplies at all times.
- Occasionally traveling off-site to deliver or pick up items.
- Ensuring the confidentiality and security of files and filing systems.
- Answering phone calls in a polite and professional manner.
- Assist in research, planning, and organizing of company events, procedures, recruitment or projects as needed.
