Job Title: Circles Community Coordinator
Reports To: Program Director
Position Status: Part-Time, Hourly
Pay: $25-$28/hr
SUMMARY
Under the direction of the Program Director, the Circles Community Coordinator is responsible for outreach, engagement, and administration. The Coordinator recruits and supports volunteers, organizes and staffs volunteer resource teams for successful program implementation, and coordinates external communications that promote the organization’s goals. The Community Coordinator works in collaboration with the Circles RVA staff to implement the Circles model.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Communications and Public Relations
- Meeting Night Coordination:
- Assist in planning and implementing programming for weekly meetings
- Coordinate volunteers and logistics for all weekly meetings including securing locations, supplies, and setup/cleanup for Circles meetings and events
- Ensure weekly meals are covered by obtaining meal sponsors or purchasing food
- Team Coordination:
- Support and oversee responsibilities of Resource Team Leaders
- Maintain regular communication for engagement in roles
- Create reports of activities
- Community Collaboration:
- Meet regularly with other staff to ensure coordination of responsibilities
- Foster positive relationships with Circle Leaders, Allies, officers, co-workers, resource team members, and the community at large
Management and Administration
- Collaborate with Circles RVA staff and volunteers to achieve organizational goals and outcomes
- Purchase materials, supplies, and other items for meetings, training, and events.
- Work with the Treasurer to ensure all receipts are uploaded with a brief description of their purpose and account
- Maintain organization’s phone line number to include messages and voicemails
- Keep GuideStar data up to date
- Perform other duties, appropriate for the role of the Community Coordinator, as needed
- Submit descriptive timesheets for each pay period
Track Outcomes
- Continuously evaluate program processes and outcomes and recommend approaches to improve program performance
- Work with the Circles Coach to collect and manage feedback from all parties involved in the program through surveys, written reports, and verbal comments
QUALIFICATIONS

Required:
- Bachelor’s degree in community development, social services, or related field—or an equivalent combination of education and experience.
- Strong organizational skills with the ability to manage complex tasks independently.
- Effective problem-solving and discretion in decision-making.
- Proficiency with Google Workspace, Canva, database software, and other relevant tools.
- Experience in design and marketing, including creating visuals, managing social media, and producing newsletters.
- Excellent communication skills (written and verbal) and ability to speak effectively to groups of community agencies, volunteers, or employees.
- Ability to work collaboratively with individuals and groups of all ages, skills, and personalities.
- Capacity to work independently while being a strong team player.
- Ability to stay calm under pressure and navigate stress or conflict effectively.
- Commitment to Circles RVA’s mission and goals.
CERTIFICATES, LICENSES, REGISTRATIONS
Current driver’s license.

Preferred:
- Two years experience in community development, human services, or a related field
- Prior experience supporting volunteers
- Prior experience with program management
