Job Description
POSITION OVERVIEW
The Assistant Property Manager provides first-class property management services and assists a Property Manager in overseeing a portfolio of commercial properties. Day-to-day responsibilities include assisting with issues regarding building/property operations, enhancing tenant relations, vendor scheduling, and customer service.
ESSENTIAL FUNCTIONS
- Provide daily assistance and support to Property Managers in management of a commercial real estate property portfolio.
- Manage tenant and vendor relations to include keeping contracts and COI updated.
- Property scheduling and communication with tenants and vendors.
- Assist with accounting, reporting, and budgeting tasks.
- Assist with lease administration.
RESPONSIBILITIES
- Work with Property Managers to resolve building operations’ issues.
- Work closely with vendors to ensure compliance with service contracts.
- Recommend and/or complete vendor contracts as appropriate.
- Ensure adherence to property owners’ policies and procedures, as well as compliance with codes, regulations, and governmental agency directives.
- Answer office telephone as required and assist callers.
- Receive work order requests and coordinate with the building technician or vendor(s) as appropriate.
- Schedule building activity including move-ins/move-outs and verify insurance.
- Follow established A/R guidelines including contacting tenants regarding follow-up on rent payment status and assisting Property Manager in lockouts, assigning late fees, or sending demand letters as necessary.
- Review and ensure the accurate coding of invoices for payment.
- Assist Property Managers in the preparation of the monthly reporting package/financial reports according to owner's needs.
- Assist Property Managers with the preparation, assembly, review, and implementation of the annual operating and capital budgets, as well as operating expense reconciliations.
- Assist the Property Managers as appropriate in coordinating insurance procurement, electricity procurement, and real estate tax review processes for properties.
- Ensure compliance with management agreements.
- Work with the Property Managers to facilitate accounting, leasing, marketing, and construction needs.
- Understand lease types to assist the Property Manager with ensuring Lease compliance.
- Process Tenant billbacks expenses.
- Assist in the response and resolution of after-hour emergency calls as needed.
- Assist in planning and executing tenant events with management team.
Qualifications
Must know Tax Credit section 42 (Required)- Strong organizational skills and attention to detail.
- Ability to perform light physical labor, including landscaping and minor repairs.
- Excellent communication and customer service skills.
- Reliable transportation and a valid driver’s license.
- Ability to work independently and as part of a team.

Pay Range: $27.00 (Hourly)
Property: Orchard Park Apartments - 224 units Salem, OR.
Schedule: Monday - Friday 9:00AM - 6:00PM
