Manages the logistics and executes the delivery of Citadel public and private events, primarily in The Oak Room. Serves as the primary client liaison during event inquiries and scheduled events. Provides outstanding customer service, displays an enthusiastic and professional demeanor, and builds relationships with community members, clients and event coordinators.
1. Serves as the contact person with clients associated with scheduled events and on-site staff and volunteers hosting the event.
2. Serves as the primary sales representative for the event business. Assists with the marketing and promotion of the event services available.
3. Manages the logistics and executes the delivery of event needs including contract management, securing deposits, staff and volunteer scheduling, room set up, A/V set up, etc. – ensuring the highest level of client satisfaction.
4. Organizes event staff by assigning responsibilities prior to, during and at the conclusion of events.
5. Develops and maintains positive relationships with the client, troubleshooting problems that arise during the use of the facility for events and ensuring the level of quality that is expected.
6. Hires, trains, and supervises event employees and volunteers necessary to execute events.
7. Oversees scheduling and hours reporting of staff.
8. Assists in the processing of event deposits and payments.
9. Works with the Dance Director and board to ensure event operations needs are met including providing necessary reports, ensuring event supplies are on hand and that the facility is presentable and event ready.
10. Performs other duties as assigned.
Under the limited supervision of the Dance Director, the Event Manager is responsible for coordinating and implementing the event business of the Citadel Dance and Music Center. Provides direct supervision of staff, volunteers, and others according to the event schedule and specific event needs.
A minimum of 2 years or more experience in event services or related hospitality industry is required. Supervisory experience preferred. This position requires the ability to handle multiple details and can be very hands-on. Works variable schedules, sometimes including evenings and weekends. Computer experience required. Written and verbal communication skills required. Must be self-directed and able to work well unsupervised. Must be well-organized and detail oriented with excellent follow-up. High level of interpersonal skills required. Must be positive, result oriented, and able to work well under pressure. Must be able to work with a diverse group of associates and clients.
This position is part-time with hourly pay of $20 -425 per hour for direct event supervision – variable hours depending on event needs. In addition, a 20% commission on gross event revenue is payable monthly.
