Job Overview
The documentation specialist is responsible for various support duties related to the closing due diligence, documentation, post-closing review and loan servicing functions of commercial lending. This position also assists in managing customer relationships.
Working with the documentation & servicing manager, credit analyst, commercial loan officers and retail branches, the documentation specialist is responsible for assisting with the timely closing of commercial loans by ensuring that all applicable closing due diligence items are received, reviewed, and acceptable in accordance with the approved credit memo and loan conditions as outlined in the term sheets and commitment letters.
The documentation specialist assists in preparing the loan documents and closing packages in accordance with Citadel’s commercial lending policy and procedures. The position also supports the loan booking and servicing functions on Citadel’s existing accounting and servicing platforms.
Responsibilities
- Reviews the approved credit memo and loan conditions as outlined in the term sheets and commitment letters. Assists with the creation of a loan documentation checklist (if applicable) and notifies the borrowers of due diligence items required prior to the loan closing with follow-up communication as needed.
- Coordinates with the documentation & servicing manager, commercial loan officers, credit analyst, market managers, assistant market managers, title company (if applicable), and third-party vendors to obtain the pre-closing due diligence and address questions or concerns that arise.
- Assists with ordering title searches, title commitments and title insurance policies; reviews HUD-1 / closing statements as prepared by title agent or attorney ensuring all closing costs are included and paid according to the approved credit memo and commitment letter.
- Assists the documentation & servicing manager in the preparation of standard TruStage Compliance Systems loan documentation for execution by borrower.
- When needed, conducts in-house or branch closings with borrowers for non-real estate transactions or loans not closed by title agents.
- Records and perfects UCC liens, title liens and real estate collateral; completes post-closing reviews on commercial loans.
- Responsible for the creation and updating of electronic loan documentation files as well as assembling the original documentation binders.
- Supports the loan booking and servicing functions on Citadel’s existing accounting and servicing platforms.
Qualifications and Education Requirements
- 2 to 4 years direct commercial lending or residential mortgage lending closing and documentation experience.
- Familiarity with the commercial or residential mortgage due diligence process including real estate transactions, title searches/insurance, & organizational documentation.
- Understanding of collateral perfection including recorded mortgages, titled vehicles and UCC liens.
- Experience interacting with borrowers, title agents, and attorneys for the closing, preparation, and execution of mortgage loans.
- Proficiency with standard loan documentation software (i.e. TruStage Compliance Systems) is desired but not immediately required but preferred
- Knowledge of NCUA & Commonwealth of Pennsylvania rules and regulations as concerns commercial lending preferred
- High school or Associate’s degree or equivalent commercial or residential mortgage experience; Bachelor’s degree in business, legal studies or equivalent area of study preferred
- Microsoft Office; Adobe PDF Files; Abrigo Sageworks Software preferred
