I am working on a role with a leading financial services firm based in midtown seeking an Executive Assistant to join their team in a temp capacity.
The position is hybrid 3/2.
Responsibilities:
− Managing calendars and scheduling and working collaboratively with other EAs to coordinate internal and external meetings
− Coordinating domestic and international travel
− Handling data entry and reporting
− Tracking and organizing monthly expenses
− Developing and maintaining knowledge of firms product offerings, systems and processes to support client relationships
− Preparing and reviewing agenda and materials for meetings and various committees and forums regarding client coverage
− Assisting with annual benchmark reporting and analysis
− Providing updates on vendor performance (e.g., travel agencies, office supply distributors) to stakeholders
− Participating in semi-annual department process reviews collaborating with managers and leadership to identify improvement areas and implement best practices
− Completing ad-hoc projects as assigned
− Providing administrative backup support to the Executive Assistant Team including support to the Executive level offices as needed
Candidate Requirements
Qualifications & Experience:
− Bachelor’s degree required
− Minimum of 5 years’ experience in a similar capacity is preferred
− Excellent computer skills, familiarity with Microsoft Office suite, previous experience using a CRM program a plus
− Strong organizational skills
− Friendly, upbeat, pleasant demeanor; good at building alliances and possesses a helpful, client support attitude
− Excellent verbal and written communication skills
− Experience booking complex, global travel
− Proactive problem-solving abilities
− Ability to handle changing demands in fast-paced environment with strong multi-tasking skills
− Ability to work collaboratively and autonomously
Salary : $40 - $45
