Scope of Work:
The Executive Assistant is an integral part of CRES’ President’s office, ensuring operational excellence and efficiency. Reporting directly to the Chief of Staff, with a dotted line to the President, this role supports the organization’s leadership team by providing high-level administrative support. The Executive Assistant facilitates cross-departmental coordination, supports the Chief of Staff’s office management, and ensures seamless administrative functions for the President. The ideal candidate brings a minimum of 3-5 years of experience in a similar administrative or operational role, demonstrating a proven ability to support organizational leadership and drive efficiency.
Responsibilities:
- Administrative Support for President: Manage the President’s calendar, schedule meetings, and coordinate travel arrangements. Ensure seamless communication and prioritization of tasks.
- Administrative Support for Chief of Staff: Assist with scheduling, expense reporting, office and maintaining organizational records as needed.
- Office Management: Maintain a well-stocked office by ordering supplies, ensuring drinks are replenished in the refrigerator, managing water orders, and coordinating team meal orders. Liaise with vendors and building management as needed. Prepare and clean conference rooms for meetings and greet guests upon arrival.
- Administrative Support for Chief of Human Resources: Provide support for recruitment and HR administrative functions, including record-keeping, conducting prescreen process, and scheduling interviews.
- Meeting Coordination: Organize and staff internal meetings, prepare agendas, take minutes, and track follow-ups.
- Event Support: Coordinate logistics for events and briefings, including venue arrangements, materials preparation, and vendor management.
- Cross-Department Collaboration: Provide operational support to various departments (Government Relations, Communications, Policy & Advocacy, and External Relations) to ensure smooth workflow.
- Performs other duties as assigned

Education and Experience:
Required:
- 3-5 years of experience in an administrative or operational role.
- Proficiency with Microsoft Office Suite and Microsoft Teams.
- Familiarity with Salesforce or the ability to learn and manage databases effectively.
Preferred:
- Bachelor’s degree in related field.
- Experience in a non-profit, advocacy, or public policy organization.
- Familiarity with event coordination and vendor management.
- Knowledge of project management software.
