We are looking for an Administrative Assistant to join the Administration Department. As an Administrative Assistant, you will be responsible for:

  • Providing administrative support such as electronic filing, copying, faxing, answering phone calls, typing, word processing, and proofreading to staff and partners.
  • STAR Practice Management database maintenance and project assistance.
  • Assist with new client intake 
  • Management of engagement letter preparation, delivery, and filing.
  • Billing & accounts receivable support.
  • Greet visitors and vendors.
  • Meeting preparation & clean-up: food ordering if/when applicable.
  • Order office meals/snacks.
  • Order office supplies.
  • Calendar management: assist with appointment setting, communicate Partner/Director whereabouts, set-up for meetings, organize presentations & corresponding materials.
  • Provide reports and presentations based on given or requested data via: PowerPoint, Excel, billing program, etc.
  • Package returns and confirm address for delivery, tracking and certified mailings.
  • Electronic delivery when applicable (secure send via ShareFile).
  • Preparing expense accounts and other reports.
  • New hire onboarding preparation and assistance.
  • Miscellaneous other tasks as assigned.

Qualifications


  • Associate or Bachelor Degree preferred.  
  • 2 years of experience in an administrative role
  • Excellent phone manner with a customer service attitude.
  • Strong spelling, grammar and math skills. 
  • Strong verbal and communication skills. 
  • Intermediate to Advanced proficiency with all Microsoft applications (especially Excel). 
  • Ability to handle driven deadlines and work in a high paced demanding environment. 
  • Strong attention to detail with precise follow-through. 
  • Must be able to work independently. 
  • Calm under pressure and flexible approach to situations. 
  • Experience in a professional services environment is a plus. 
  • Flexibility to work additional hours for Busy Season (January- April).
