The Administrative Assistant II functions as Housing Services Division Director's administrative assistant to perform administrative tasks. The schedule for this full-time position is Monday through Friday, 8:00 AM to 5:00 PM.
  • Performs all aspects of administrative office and telephone support including, but not limited to, fielding calls for division staff and assisting clients with information on current housing programs.
  • Oversees payroll, submits, and approves payroll online.
  • Creates, edits, copies, publishes, and distributes publications, newsletters, handouts.
  • Prepares letters, forms, documents, memos, and reports for general correspondence.
  • Sorts and distributes mail; contacts courier for deliveries.
  • Maintains accurate files, records, and documentation.
  • Maintains inventory and order supplies.
  • Oversees and coordinates travel functions and purchasing cards.
  • Performs data entry tasks on computers for informational and record keeping purposes.
  • Attends, processes, and distributes meeting minutes, as well as prepare agenda and public notices.
  • Oversees the Housing asset inventory.
  • Performs related duties as required
Education, Training, and Experience
  • High School Diploma or GED equivalent.
  • Two (2) years’ experience performing administrative/clerical duties.

Certificates, Licenses, Registration, Skills
  • Valid Florida Driver License (or must obtain within 30 days of establishing residency in Florida), or valid Florida Identification Card is acceptable only for positions not required to drive a county vehicle.
  • May require Notary Public Certification.
  • Excellent customer service skills, communication skills and strong attention to detail required.
  • Knowledge of business English, spelling, and punctuation. 
  • Knowledge of office practices and procedures. Ability to type and compose routine business letters and memorandum. 
  • Must have strong organizational skills to plan, prioritize, multi-task and independently execute projects/tasks within specific deadlines while maintaining flexibility. 
  • Requires ability to maintain courteous and effective relations with County staff, elected officials, community interest groups and the public.
  • Must have strong working knowledge of computers and be proficient in the use of Microsoft Office Suite of Products (i.e., Outlook, Word, Excel, etc.).
  • Must have or be able to obtain within 90 days certification in FEMA National Incident Management System (NIMS) courses:
    • IS-100.c: Introduction to the Incident Command System (ICS); and
    • IS-700.b: An Introduction to the National Incident Management System

Physical Requirements/Work Environment
  • Requires sitting most of the day.
  • The job involves frequent lifting and carrying up to 10 pounds, and occasionally up to 20 pounds.
  • The job requires frequent bending, balancing, twisting, reaching above shoulders, and occasional kneeling and squatting.
  • The job requires the completion of tasks that involve typing, simple grasping, fine manual manipulation, pushing, and pulling.
  • The job requires normal visual acuity and field of vision, depth perception, hearing, and speaking.

Emergency Response/Recovery Activities
  • All employees will be required to work before, during, or after an emergency. During an emergency, employees may temporarily be assigned to work and perform duties outside the normal scope of their position, location, and work schedule to fit the needs of the County and its citizens. Emergency response duties may also include driving and/or operating a county vehicle or equipment and employees must obey all safety policies, and roadway rules and laws.
