Job Description:
The Citterio USA Front Office and Accounting Coordinator plays a critical role in ensuring smooth operations and a positive experience for clients, visitors, and employees. This position involves administrative, customer service, and organizational responsibilities to support the overall function of the office.
Key Responsibilities:
- Process, verify, and reconcile invoices accurately and in a timely manner.
- Maintain accurate records of accounts payable transactions.
- Address vendor inquiries and resolve discrepancies promptly.
- Greet and assist visitors, answer inquiries, and maintain a friendly and professional demeanor.
- Manage incoming calls, emails, and mail, directing them to the appropriate personnel.
- Coordinate appointments, meetings, and conference room bookings, including preparing agendas and materials.
- Coordinate travel arrangements and manage expense reports for staff as needed.
- Organize and maintain office files, both digital and physical.
- Maintain the reception area and common spaces to ensure they are tidy and organized.
Requirements:
- Knowledge of computers and computer software, with ability to apply this aptitude in word processing, Excel spreadsheet development, and Word document merges.
- Knowledge of proper phone etiquette and customer service techniques.
- Thorough knowledge of proper records management, retention of records, and cataloguing of files.
- High energy level, ability to multitask, establish priorities, and work independently.
- Positive interpersonal skills, including effective verbal and written communication.
- Ability to maintain confidential and sensitive information which may be proprietary to Citterio USA.
Education and Experience:
A minimum of two years in office administration background with a broad knowledge of Microsoft Office or specialized education in an office administration program is required.
Physical Demands:
This position requires prolonged periods working at a desk, using a computer, and engaging with office equipment. Occasional interactions with staff, clients, and vendors in-person, via phone, and email are expected.
