Position Information
This position performs a variety of complex clerical assignments, in preparing, processing, and filing forms, records and similar materials in accordance with general instructions and procedures; and performs other related duties as required.
The Department of Enterprise Services, Administrative Services Office is hiring for Office Assistant II in Honolulu, which will serve as the first point of contact for the administrative services section and provide direct clerical assistance to the section in various human resources tasks.
Some examples of work generally stated for the Office Assistant II classification, but not precluding other specific duties and responsibilities assigned for the specific position, can include (but are not limited to):
- Creates, edits, prints, stores, retrieves and deletes documents using a computer, word processing and other software, in draft or final form, from rough or corrected copy where formal and arrangements are not clearly indicated.
- Prepares, reviews and processes forms, records, reports, applications and other documents for accuracy, completion and conformance to established requirements.
- Searches through a variety of paper and electronic files and records, extracts, compiles and summarizes information and prepares periodic and special reports.
- Composes routine correspondence and letters of acknowledgement.
- Provides general information and resolves complaints in person or over the telephone involving explanation of rules, regulations, policies and procedures and knowledge of the agency’s purpose and functions.
- Assists the public in filing out standard and supplementary forms.
- Sets up and maintains a variety of files and records and revises filing system as necessary.
- Sorts, arranges and files a variety of documents and materials.
- Answers the telephone and takes and/or relays messages to the proper person or office.
- May incidentally supervise the work of others.

Minimum Qualification Requirements
At time of application, you must be a citizen, national or permanent resident alien of the United States or a non-citizen eligible under federal law for unrestricted employment.
EDUCATION REQUIREMENT:
Equivalent to graduation from high school. Responsible work experience demonstrating the ability to perform the essential functions of the job may be substituted for education.
EXPERIENCE REQUIREMENT:
One (1) year of clerical experience.
Such experience must have demonstrated:
- Knowledge of office practices and procedures
- Knowledge of filing methods and systems
- Knowledge of correct English grammar, spelling and word usage
- Knowledge of operation and maintenance of common office machines and equipment
- Ability to make arithmetic computations
- Ability to compare words and numbers accurately
- Ability to keep records, summarize and analyze materials and prepare reports
- Ability to operate standard office machines and equipment
- Ability to understand and interpret laws, ordinances, rules, regulations and policies pertinent to the department
- Ability to read and follow oral and written instructions
- Ability to deal with others in an effective and tactful manner
Substitution: Business school or college-level credits from a regionally-accredited college or university will substitute for experience on a month-for-month basis for the required clerical experience.
Education obtained outside of the United States must be comparable to education earned at a regionally-accredited college/university in the United States. In order to receive credit for the education, a foreign credential evaluation (FCE) must be provided. LICENSE REQUIREMENT:
Possession of an appropriate valid driver's license (type 3/automobile), as required.
