City House Overview
Located in the heart of Baltimore’s Mt. Vernon neighborhood, City House is a completely renovated early 20th century Greystone mansion. The building has been converted into a modern shared working space that provides both membership opportunities and private offices.
Position Description
City House is seeking an exceptional, detail-oriented professional to serve as the onsite coordinator and assist the current team with administrative responsibilities.
The position will be onsite, Monday through Friday from 8:00 am to 5:00 pm.
Responsibilities:
Property and Office Management
o Cover the front desk by answering the phones, taking messages, greeting guests with a friendly smile, and helping them check in
o Conduct daily walkthroughs to identify maintenance and cleaning issues to ensure general upkeep of the office and property
o Manage building inventory, including but not limited to food and beverage, office/janitorial supplies, furniture, and technology.
o Provide onsite support to troubleshoot IT/AV issues with conference room technology, printer/scanner, etc.
o Track, monitor and send mail and packages.
o Scan mail and forward to the appropriate parties
o Support in tracking building expenses and identifying deviations from the operating budget with the goal of collecting data to better inform future budgets.
o Manage vendor and contractor relationships for the property.
o Facilitate lease negotiations with tenants regarding renewals
o Facilitate the execution of lease and membership agreements via DocuSign
o Coordinate with accounting team to submit new agreements and confirm payment processing
o Create and follow up on the payment of invoices using Square
o Submit invoices from vendors to accounting for payment
o Provide general administrative support to ensure efficient operation of the office.
Community Development
o Provide concierge services for tenants and members.
o Facilitate new tenant and member onboarding
o Support onsite meetings by greeting guests, coordinating catering, helping with event and meeting setup/cleanup, as well as restocking fridges and snack jars throughout the building
o Internal community development through event planning, newsletter creation and distribution, relationship building with tenants and members, etc.
o Develop and maintain relationships with local businesses by forming partnerships that benefit both parties.
o Attend quarterly community events in Baltimore to engage with community partners and increase brand/business awareness
Business Development and Marketing
o Support the acquisition of new leases, memberships, and event bookings.
- Respond to and correspond with new leads
- Coordinate scheduling of tours
- Engagement of lead along lead pipeline
- Utilize Salesforce to track the progression of leads*
o Support marketing efforts through the creation of marketing materials, content creation, ad management, etc.
- Create and distribute content on social media (Instagram, Facebook, LinkedIn)
- Daily social media engagement
