What are the responsibilities and job description for the DEPUTY COURT CLERK I position at City of Amarillo?
STARTING PAY: $14.41 per hour
SUMMARY
Under general supervision this position can be assigned a variety of tasks including, but not limited to providing secretarial/receptionist support; preparing petit jury information for jury trials; accurately entering citations, Prosecutor authorization forms, and other legal documentation into various databases; auditing citation entries for accuracy and completeness; administrative support for all aspects of docket management; file desk and general data-entry in the Clerks’ Office and assisting the Administrative section when necessary. To be successful in this position, you will need to be detail oriented and a team player. You will also need to be driven to be a good public servant.
ESSENTIAL RESPONSIBILITIES
- Perform routine clerical support for the Municipal Court.
- Responsible for data entry of case and defendant specific information into the appropriate records management software, ensuring that judicial orders are documented and followed.
- Ability to actively listen and notate judicial orders during court hearings.
- Audit for accuracy citations, courtroom orders, and case file information.
- Perform routine clerical duties on a regular basis for Director and Assistant Director of Court Services.
- Answer telephones, process and respond to general correspondence, motions, and appeals from jurors, defendants, and attorneys within the guidelines set by the Presiding Judge and Court Administration.
- Take messages upon request and during absence of court personnel.
- Process public information inquiries on a regular basis; refers calls to proper area.
- Send and receive email, certified mail and regular mail and verify certified mail through USPS via internet and scanning received signatures. Document all correspondence sent or received.
- Enter juror information, prepare, and separate information lists, and enter juror payment information in jury software.
- Prepare employment and thank you letters for jurors. Inputs and prepares petit jury information for jury trials. Uses the Court's jury software to select petit jury panels for jury trials and prints jury summons and assign juror information to reply to cards.
- Pick up paper citations from the Police Department and import electronic citations issued by the Police Department, Animal Welfare and Management, and other city departments.
- Ability to openly and accurately communicate with court partners, the judge's office, and Amarillo Police Department Prosecutor's Office staff members, to ensure efficient daily operations and keep in line with established procedures.
- Disseminate accident and misdemeanor citations to Prosecutors for review.
- Enter handwritten citations and open complaints with a high level of attention to detail into appropriate software.
- Prints daily dockets for scheduled hearings.
- Scan documents for department including judge’s orders, pleas forms, deferred agreements, and other required documents to and from the judge.
- Update officer and attorney information when new information becomes available.
- Process all defendants referred to community service.
- Assist in auditing new cases and processing judicial orders/judgments after payment or disposition at the windows.
- Performs other job-related duties as assigned.
MINIMUM REQUIREMENTS
Requires a High School Diploma or its equivalent (GED) with a minimum of one (1) year of related experience. Experience within the legal system is desirable is preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
- Proficient typing skills required.
- Ability to concentrate on detailed and complex matters under pressure and with constant distractions and interruptions.
- Ability to use computers for data entry, word processing and accounting purposes, proficiency with Microsoft office software.
- Ability to operate standard office equipment including printers, document scanners, fax machines, and multi-line telephone sysems.
- Ability to cope with meeting deadlines on heavy volumes of work on a regular basis.
- Ability to learn and maintain a highly specialized level of legal and process knowledge.
- Ability to work under pressure stemming from heavy workload and time constraints.
- Ability to work overtime with little or no notice.
- Ability to operate computers for data entry and word processing.
