STARTING WAGE: $18.59/hour
SUMMARY
Under general supervision, this position provides high-level administrative support to Court Administration and the Presiding Judge for the City of Amarillo. Responsibilities include, but are not limited to, serving as designated timekeeper, preparing disbursement documents, creating requisitions, handling a variety of open record requests and leading weekend arraignment team.
The ideal candidate will possess good communication, interpersonal, and organizational skills, along with proficiency in Microsoft Office Suite. This individual is a public servant, performing their assigned duties in an ethical and accountable manner to serve the interests of the public. They work to prevent fraud, waste, and abuse.
ESSENTIAL RESPONSIBILITIES
- Provides secretarial support to Court Administration and the Presiding Judge for the Municipal Court.
- Answers the phone and responds to caller inquiries and complaints.
- Processes public information inquiries including records requests on a regular basis. This includes creating a variety of open record requests, including the preparation of certified copies of court record.
- Backs-up Jury Clerk during absence, vacations, or when position is backlogged.
- Serves as designated timekeeper for the Municipal Court, processing timesheets and payroll for approval by Court Administration.
- In accordance with City policy and procedure, prepares disbursement documents for payment and verifies accuracy of the payment vouchers for both the Municipal Court and Judicial departments.
- Orders and maintains the courts printing and office supplies.
- Prepares employee performance appraisals.
- Tracks the funds for Business Reply Mail.
- Assists in travel arrangements, completing travel forms and expense sheets.
- Reconciles and documents credit card purchases with statements for both the Municipal Court and Judicial departments.
- Notifies the Department of Public Safety of ordered driver’s license suspensions as well as discrepancies between the driving record and the court record when needed.
- Processes civil cases for bond forfeitures.
- Reviews cases for compliance with judicial orders.
- Creates job posting requisitions for open positions within the court.
- Serves as back-up for other court staff, as needed, to fulfill staffing requirements.
- Serves as lead member of the weekend arraignment team, ensuring the court’s defendants that are booked into Randall County Jail are seen timely.
- Oversees inventory and property management.
- Uses critical thinking skills to verify and then electronically send cases to the appropriate departments.
- Processes incoming and outgoing correspondence in accordance with court policy and procedure.
- Assist in planning and executing departmental employee team building activities.
- Performs other job-related duties as assigned.
MINIMUM REQUIREMENTS
Requires a high school diploma or its equivalent (GED). A minimum of two (2) years of administrative experience is required. Must be able to obtain a Level I Court Clerk Certification within two (2) years of hire. A Level II Court Clerk Certification, preferred. Valid Texas Class C Driver’s License required. Must be able to type 35 wpm.
KNOWLEDGE, SKILLS, AND ABILITIES
- Ability to concentrate on detailed and complex matters under pressure and with constant distractions and interruptions.
- Ability to use computers for data entry, word processing and accounting purposes; proficiency with Microsoft office software, including Microsoft Word and Excel.
- Strong verbal and written communication skills.
- Ability to operate small office equipment, including copy machines, document scanners and multi-line telephone systems.
