GENERAL DESCRIPTION

This entry level position assists in clerical support duties for Building Division staff. Work is carried out under the guidance and direction of the Building Official.

ESSENTIAL JOB FUNCTIONS

The following essential functions represent the primary duties of this position but should not be considered an all-inclusive list of responsibilities. Other duties may be required and assigned.

  • Assists in reviewing building permit applications for proper documentation and issuing permits. Reviews permits for processing.
  • Processing payments : Operates cash register, maintains daily cash report with record of all monies received by division; handles cash, and balances out cash drawer. Creates invoices.
  • Assists in maintaining files, inspection records and related data in an organized manner.
  • Prepares various types of correspondence, reports and memoranda.
  • Provides assistance and information to the public and others; must be part of a team operation.
  • Schedules inspections and provides results, as requested.
  • Prepares letters, reports, memoranda, and various other documents from rough draft.
  • Maintains office files, records, computer data files, in a neat and organized manner.
  • Provides support at the permit counter; issuing permits and providing verbal and written information to the public.
  • Performs any other duties or tasks that may be assigned.

KNOWLEDGE, SKILLS, & ABILITIES

  • Ability to determine the type of permit required, and applicable fees, must be able to interpret simple building plans.
  • Ability to apply independent judgement to appropriately complete tasks.
  • Ability to work effectively with general public and other employees; to follow up to various requests; to operate cash register, maintain daily cash report with record of all monies received by division; to handle cash, make correct change, and balance out cash drawer.
  • Skilled in paying attention to detail.
  • Ability to learn and follow City and Departmental policies and procedures; to receive and understand written and verbal instructions, taking clear and accurate messages for others; to give clear and accurate information and instructions to others.
  • Knowledge of applicable laws, regulations and ordinances governing the issuance of permits. General knowledge of various types of permits issued, as well as, considerable knowledge of methods, practices and techniques involved in general construction.
  • Knowledgeable in common English usage, grammar, punctuation, and spelling. Ability to recognize errors, and give attention to detail.
  • Knowledge of standard formats for letters, memoranda, and reports with the ability to produce such in an accurate and timely manner.
  • Ability to apply basic mathematics and calculations.
  • Ability to use computers and applicable software, such as Microsoft Suite.
  • Ability to establish and maintain effective and amiable relationships with leadership, supervisors, residents, customers, employees, other departments and agencies.
  • MINIMUM QUALIFICATIONS

  • High school diploma or valid equivalent.
  • One (1) year of experience in clerical work.
  • Valid Florida Driver's license. A valid out of state License is acceptable, but selected candidates must obtain and provide a valid Florida driver's license within thirty (30) days of start date.
  • An equivalent combination of education and experience may be considered, provided that the education and experience are in a relevant and related field.

    PREFERRED QUALIFICATIONS

  • Previous experience in a permitting role or building department.
  • JOB LOCATION

    Located in the Building Division office in City Hall. Some travel to post office, meetings and seminars, will be required.

    ADDITIONAL JOB INFORMATION

  • Physical Requirements : Prolonged sitting; occasional standing, walking, bending / twisting, pushing / pulling up to 10 lbs., and lifting up to 25 lbs.
  • Environmental Conditions : Exposure to smoke / dust / pollen and bright / dim lights. Minimal exposure to temperature / weather extremes.
  • Sensory Requirements : Some tasks require the ability to perceive and discriminate visual cues signals. Some tasks require the ability to communicate orally.

    Salary : $37,440 - $58,240
