JOB SUMMARY :
Under general supervision,the Payroll Coordinator is responsible for managing and administering allpayroll functions for the Fire Department. This includes ensuring accuratepayroll processing, maintaining thorough records, and ensuring compliance withcity regulations and labor laws. The Payroll Coordinator works closely withHuman Resources and Finance departments to streamline processes and improvepayroll workflows, contributing to the overall efficiency of payrolloperations.
ESSENTIAL JOB FUNCTIONS :
- Serve as the primary payroll timekeeper for Fire Administration, Fire Training and Resource Management; reviews the timekeeping and scheduling for Fire Operations and Fire Prevention.
Process payroll for employees working various shift schedules, ensuring all 8-hour, 10-hour, and 24-hour shifts.
Train and support payroll schedulers on time and attendance policies and communicate updates or changes to the payroll system to ensure accurate data entry and payroll processing.Perform regular audits of payroll data to ensure the accuracy and integrity of employee compensation, including base salary, overtime, leave balances, salary continuation, and special assignment pays.Address any discrepancies or issues related to pay adjustments, providing necessary documentation or corrections.
Provide payroll-related insights and projections to assist in the preparation of budget reports for the City Manager's Office.OTHER JOB FUNCTIONS :
Safeguard sensitive employee information by ensuring all personnel files are securely stored and access is restricted to authorized personnel only.Sort and categorize incoming mail, including generalcorrespondence, packages, and deliveries.On a nontypical basis, may perform other additional duties not listed in this description that are in alignment with the scope of essential job functions.
MINIMUM QUALIFICATIONS :
Knowledge, Skills and Abilities Required :
Knowledge of automated payroll systems and procedures.Knowledge of the principles and practices of modern office methodsKnowledge and application of Microsoft Office Suite.Knowledge of basic accounting practices and procedures.Skill in reading and interpreting policies.Skill in organizing, processing, or verifying routine documents.Skill in alphabetical and numerical filing.Skill in communicating with other city employees and the public by oral and written means.Skill in making simple arithmetic calculations, bookkeeping, and payroll systems.Skill in analyzing information needs with careful attention to detail.Ability to establish and maintain effective working relationships with work associates, city personnel, and citizens.Ability to operate a variety of office equipment including but not limited to personal computer, calculator, copier, telephone.Ability to learn the city's basic workers' compensation guidelines.Ability to communicate ideas in both oral and written form.Ability to perform a variety of physical skills including, but not limited to seeing, sorting, filing, calculating, and writing.Ability to manage, balance and complete multiple tasks in an expeditious and effective manner.Qualifying Education and Experience :
One year college with coursework in Accounting, Bookkeeping, computers, or related field.Two (2) years of clerical experience.Or an equivalent combination of education and experience.PREFERRED QUALIFICATIONS :

Knowledge of the Workday payroll software.Preferred Education and Experience :
Payroll experience in government or public safety sector.Civilian and non-civilian employees
