Duties and Responsibilities
Essential Job Functions: Performs complex clerical and typing duties involving forms, schedules, statements, statistical and other reports; maintains general office files; types miscellaneous correspondence as necessary; receives and screens visitors and telephone callers; takes complaints and supplies routine information; operates word processor and inputs data on the AS/400; compiles data for monthly reports; occasionally issue dump permits; interacts effectively with the public and other City employees; frequently deals with irate citizens; makes mathematical computations; verifies data/records for data processing or auditing purposes; receives, opens, and distributes mail; operates various office machines; acts as Relief Clerk at the Landfill; prepares purchase requisitions and check requests; prepares payroll.
Other Job Functions: Performs other duties as required.
Working Conditions
Normal office environment; may be exposed to noise, fumes, odors, and dust/mite; subject to the constant noise of voices, telephones, two-way radio; must be available to work Monday-Friday, 8:00 a.m. to 5:00 p.m., may work extended hours when necessary.
Minimum Essential Qualifications
Knowledge: Thorough knowledge of secretarial practices and skills; knowledge of word processing and the AS/400 computer system; knowledge of business English, spelling and math; knowledge of City Policies and Procedures; knowledge of formats for various business letters and reports; knowledge of relevant guidelines and regulations.
Skills/Abilities: Ability to perform mathematical computations accurately; ability to deal effectively with irate and hostile citizens; ability to establish and maintain an effective working relationship with other employees and the public; ability to input data quickly and accurately; ability to set up and type a variety of complex materials; ability to operate PC; ability to make minor decisions in accordance with precedents and regulations; must have excellent grammar skills.
Physical Requirements:
Essential: Constantly sees and hears; frequently sits, files, operates PC and enters data, holds objects weighing up to 5 lbs., types, operates calculator, sorts, stands, walks, writes by hand, climbs, carries, drags or lifts objects weighing up to 30 lbs; infrequently kneels.
Education/Experience: Graduation from high school or equivalent supplemented by advanced courses in business or office administration, a minimum of three (3) years experience in secretarial and general clerical work; minimum one (1) year experience using Word Perfect for Windows. Experience with Lotus for Windows and AS/400 system preferred.
Other
Must pass typing test at 45 wpm. Skills test will be administered. Must become proficient with all job related software within six (6) months of employment. Applicant selected for hire shall be subject to drug/alcohol screen test.
