JOB SUMMARY The Administrative Technician provides “High Level” administrative and technical support, including setting up and maintaining specialized computer application programs which have a moderate degree of complexity. Provide consultation, assistance, and instruction to department leaders and supervisors staff with respect to special department software and its applications. Provides data administrative support for conferences and presentations. Performs other jobs as deemed necessary within their respective departments. May oversee activities of department administrative assistants.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Reporting relationships, work assignments, and work schedules may be subject to change in order to meet City needs or operational requirements. Attendance at work and the ability to get along with the public, supervisors, and co-workers are essential elements of this position. Other duties may be assigned.
Coordinates the purchasing for several internal department accounts for general office supplies.
As required, assists the department manager with interviewing potential office staff.
As required, provides general supervision and training of new employees.
Assists in the preparation of the department operating budget and may advise department head on expenditures and budget control matters.
Reviews and notarizes various forms that are sent to state agencies, including training forms.
Acts as the “primary contact” for complaints and information from citizens.
Researches and prepares reports, retrieves files, and delivers information requested.
Prepares, composes, types, distributes, and files letter, forms, reports, contracts, requisitions, purchase orders, general correspondence, and other documents related to department operations.
Performs other jobs deemed necessary.
SUPERVISORY RESPONSIBILITIES
This position has no direct reports. They may oversee administrative assistants and other clerical support personnel.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
One year certificate from college or technical school and four (4) years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. English/Spanish bilingual oral communication skill preferred.
MATHEMATICAL SKILLS
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS
Valid Driver’s License
Ability to obtain certain department certifications, credentials, and licenses as determined by the department head.
High degree of proficiency in MS Word, Excel, XP, *HTE, Tokay, Outlook and Granite XP Viewer.
