Overview
We are seeking a detail-oriented and organized Clerk to join our Berkeley Police Department team. The ideal candidate will play a vital role in supporting various administrative functions, particularly in the realm of law enforcement and criminal investigation. This position requires strong analytical skills and the ability to manage data effectively, ensuring accurate reporting and documentation.

Responsibilities

The following duties are representative of the duties of the position when fully functioning. They are not intended to represent the entire functional capacity of the position at the task level.

Processes, maintains and preserves police property and evidence obtained by the Chief's Office with careful evaluation, posting and safekeeping. Critical skills include ability to assimilate, interpret, and act upon information and set priorities, independent organization, and data entry using proficient computer skills. Attention to detail and confidentiality are important skills for an incumbent in this job.

The Evidence clerk works under the general direction of a Captain who evaluates work based upon feedback, accuracy of records maintained, as well as services provided to the department and the public. The principal duties are performed in a general office environment with some exposure to bio-hazardous materials.

Processes various types of evidence.

· Receives, sorts, organizes, analyzes and processes property and evidence, including dangerous or hazardous items, chemicals, weapons, drugs, glass/metals and biohazards, in manner subject to periodical audit;

· Receives, organizes and processes prescription medication turn in program.

· Insures that all property and evidence is properly packaged, marked and identified;

· Maintains computerized records of all property and evidence;

· Completes disposition sheets; processes evidence for release; disposes of property as needed; copies and processes documents sent to prosecutor;

· Processes and/or transfers evidence for transfer to labs; updates files, reports and related records;

· Processes impounded and found property; searches to ascertain ownership and returns property if possible; maintains record keeping system;

· Performs tasks associated with property and evidence as required by court order;

· Responsible for evidence and property security and limited access;

· Keeps immediate supervisor and designated others fully and accurately informed concerning work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems;

· Responds to citizens' questions and comments in a courteous and timely manner;

· Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities;

Performs these duties and responsibilities during scheduled work hours.

Maintains a positive, helpful, constructive attitude and working relationship with the department supervisor and departmental employees, other County employees, and Elected Officials and the public in all situations.

The person in this position is authorized access to such private information as a condition of employment to the extent necessary to perform their duties. As an employee of the city, employees are required to protect against unauthorized access to such information, ensure the security and privacy of such information, and disclose any anticipated threats or hazards to such information. Employees must be very careful not to release this information to the public or to other individuals, including but not limited to county employees who have not been authorized or who do not have a legitimate organizational, departmental, or business need to know basis. Any questions regarding release of such information to another person should be directed to their supervisor, elected official, or their designee.

· Provide quality services in a cost-effective manner and recommend improved methods of performing work;

· Make sound and reasonable decisions in accordance with laws, ordinances, regulations and established procedures;

· Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines;

· Integrity, ingenuity and inventiveness in the performance of assigned duties;

· Maintain neat, clean and safe work area and storage area.

Supplemental Information

SUPERVISORY RESPONSIBILITIES: This position has no direct supervisory responsibilities over full time employees.

Education and/or Experience: High school diploma or general education degree (GED); and two years related experience and/or training in a closely related field or an equivalent combination of education and experience.

Certificates, Licenses, Registrations: Must possess or have the ability to obtain a valid driver's license and be insurable.

Language Requirements: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals including policies and procedures and equipment manuals; to write routine draft instructions, reports and correspondence; to speak effectively one-on-one and before groups of customers or employees of organization; to use excellent oral and written communication skills; to read, write, hear, and speak in English.

Mathematical Requirements: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; to compute rate, ratio, and percent and to draw and interpret bar graphs; to perform basic mathematical computations and write basic mathematical formulas in spreadsheets.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form or from vague sources and references; to deal with problems involving several concrete variables in standardized situations and develop and implement solutions; to prioritize work time, sequence and research information to complete work assignments; to interpret different kinds of work situations and make decisions as to next step or draw conclusions; to prioritize work; to multi-task duties. Interruptions in work are expected and frequent.

Technology and Tools Requirements: Proficient ability to use personal computer systems and associated peripherals, Microsoft Windows XP or higher, Microsoft Office 2010 or higher, databases specific to the Police Department and/or the City; also, competent with the secure and legal use of the internet, electronic e-mail and basic communication devices including mobile phones and public safety radio equipment. Ability to use office phones, copy machines, printers, scanning devices, calculator, general office equipment and electronic and weighted scales.
