Salary Range: $18.2049 - $20.0780/hour. Salary reflects Step 1 and Step 3 of a 7-step pay scale. Salary at hiring will be dependent upon the applicant's education, experience, and training.
Work Schedule: Monday through Friday, 8:00 a.m. - 5:00 p.m.
Job Summary:
Under general supervision, to perform a variety of clerical accounting duties involving financial record keeping and/or transactions including accounts payable and accounts receivable; to manage the delinquent accounts, the collection process, and the bankruptcy and foreclosed accounts. To provide a variety of clerical support to assigned staff and department.
Scope of Responsibility:
Makes routine choices within established procedures, with readily available supervision, the impact of which affects own work, where impact is readily isolated and managed. Performs simple troubleshooting, selects solutions from among proven alternatives, which impacts immediate work areas – failures and successes are readily isolated and have limited financial impact. Has regular interaction to provide basic information. These relationships involve cooperation within the overall organization and directly interfacing with individual customers or vendors.
Financial Record Keeping
- Process and file work orders.
- Perform routine posting, bookkeeping, and related clerical accounting work; maintain assigned journals and subsidiary ledger accounts; perform maintenance on assigned set of accounts; reconcile accounts.
- Compile, prepare, check, and tabulate statistical and financial data; post data to various ledgers, registers, journals, and logs according to established accounting techniques and procedures; input and retrieve a variety of fiscal and statistical information using a computer terminal.
- Prepare and maintain a variety of financial files, records, statements, and reports; gather, check, and tabulate data used in the preparation of records and reports.
Accounts Payable
- Process purchase orders; sort, audit, match, and distribute invoices and monthly statements from vendors and service providers.
- Compare invoice to purchase order; verify extensions, quantity received, sales tax, and freight charges.
- Process for appropriate approvals for payment.
- Take appropriate discounts.
- Confer with vendors as necessary.
- Prepare payments for mailing.
Accounts Receivable
- Serve as cashier.
- Receive cash by mail, in person, or electronic transfer.
- Record receipts.
- Reconcile and post receipts to specified accounts.
- Prepare deposits.
- Participate in the collection of delinquent accounts.
- Prepare delinquent notices and letters.
- Submit uncollectible accounts to collection agency.
Process on and off orders by coordinating turn-on or turn-off, curb-valve checks and repair orders with the Meter Section. Schedule meter changes.
Departmental Duties
- Dispatch work orders to representatives and respond to their incoming calls and questions.
- Assist customers, departments, and employees by providing fiscal information, explaining procedures, and answering questions.
- Provide technical information and instruction regarding applicable procedures and methods to other City staff.
- Participate in the training of various departments in the use of computer accounting program.
- Operate modern office machines and equipment including calculating or adding machine, word processors, computers, typewriters, printers, copiers, calculators, and facsimile machines.
- Routinely use a full range of spreadsheet computer software applications.
- Perform a variety of general clerical duties, including typing, maintaining files and records, processing mail, and ordering supplies.
- Distribute mail and supplies to appropriate department.
Performs other duties as assigned.
Required Qualifications and Duties:
- High school diploma or GED
- Two (2) to three (3) years of combined education and experience, or equivalent
Work is in a normal office environment. Working conditions require limited physical effort moving up to 5 pounds. Working conditions require high attention to detail or deadlines with effort being frequent between 45% and 70% of the time. A typical workday involves exposure to one disagreeable element present in moderate intensity and less than 15% of the time.
