Position: Program Assistant in Planning, Housing and Community Development

Are you an organized, detail-oriented individual with a knack for technology and a passion for supporting team success? The City of Binghamton is seeking a Program Assistant to join our dynamic team. This is an exciting opportunity for someone who enjoys a variety of tasks—ranging from administrative and clerical support to assisting in training others on essential software applications.

Key Responsibilities:

  • Program Coordination & Support: Assist with the planning, implementation, and daily operations of city programs. Help ensure the smooth execution of various activities and contribute to the overall success of key initiatives.
  • Clerical & Administrative Duties: Maintain and organize filing systems, prepare reports, and handle routine correspondence. Work closely with department leaders to ensure that data and documentation are managed efficiently and effectively.
  • Training & Support: One of the highlights of this role is helping employees become proficient with various software tools such as Microsoft Excel, Word, MUNIS, and other essential programs. You will assist in training employees, providing support, and troubleshooting any issues they may encounter with software.
  • Payroll & Financial Data: Compile payroll data and ensure its submission for processing. Assist in the analysis of statistical and financial data to help track the progress and success of programs.

Skills & Qualifications:

  • Software Savvy: The successful candidate should be comfortable using a wide range of software programs, and be quick to learn new systems. A strong command of Excel, Word, and MUNIS (or similar software) is essential for this position. You should enjoy troubleshooting and helping others navigate software tools. You don't have to be an expert using these tools, but we would like you to become one!
  • Administrative Expertise: You’ll need a good working knowledge of office terminology, procedures, and systems. Experience in coordinating tasks, maintaining records, and preparing reports will be key to your success.
  • Communication & Interpersonal Skills: Strong written and verbal communication skills are a must, as you'll be drafting correspondence and interacting with various team members. Your ability to build strong working relationships and provide clear instructions will be crucial.
  • Organizational Proficiency: As a Program Assistant, you must have the ability to manage multiple priorities while maintaining a high level of accuracy. Being able to handle time-sensitive tasks efficiently is vital.

Minimum Qualifications:

  • Education: Associate's degree in business administration, secretarial sciences, or a related field (including coursework in alpha-numeric keyboard operation); OR high school diploma or equivalent with two years of relevant experience.
  • Experience: Previous experience in business or public administration, especially in roles involving software, clerical work, or program coordination, is preferred.
