Job Summary
Provides first-line response and main front desk receptionist services for the City of Bryan Municipal Building.
Essential Job Functions
- Answers all incoming calls to the City’s main phone number and refers on as needed.
- Greets and provides information to people visiting the Municipal Office Building.
- Sorts and re-directs mail and packages.
- Serves as Relief Vital Statistics Technician, receiving, recording, and issuing birth and death certificates, amendments to birth and death certificates, name changes, and court ordered adoptions.
- Assists the Vital Statistics Technician with the maintenance and issuance of records.
- Assists with various assignments assigned by the City Secretary, Deputy City Secretary, and Neighborhood and Youth Outreach Coordinator.
- Performs duties related to Council meetings (both pre and post).
- Assists with Spanish translations with callers, visitors and some written material.
- Reports to work consistently and punctually.
- Performs related duties as required.
Minimum Qualifications
- High School Diploma or GED, plus some additional training and/or course work in business, public or office administration.
- At least one (1) year of directly related experience performing administrative, clerical, call center, retail, or similar office support responsibilities.
Equivalent combinations of education, experience, certification, and training may be considered.
Knowledge, Skills & Abilities
Knowledge of:
- Proper customer service and telephone etiquette.
- Modern office procedures, methods, and equipment.
- Principles and procedures of record keeping.
Ability to:
- Work with minimal supervision and follow established practices and procedures.
- Present a professional appearance and demeanor.
- Respond to and effectively prioritize multiple phone calls, emails, walk-up traffic, and other requests for information.
- Interact with citizens in a pleasant and courteous manner.
- Use standard office equipment and machinery.
- Operate a personal computer and use standard word processing, spreadsheet and other software applications.
- Perform general clerical and administrative tasks such as data entry, filing, and record keeping, and using spreadsheet and word processing applications to prepare a variety of documents.
- Perform responsibilities with a high degree of accuracy and attention to detail.
- Maintain a high level of integrity and discretion in handling confidential information and records.
- Demonstrate satisfactory performance and a willingness to take on new responsibilities.
- Demonstrate regular, reliable, and punctual attendance and utilize leave responsibly to ensure sufficient coverage of departmental operations.
- Abide by City and department administrative directives, policies, and procedures.
- Provide management with sound, positive advice, and information concerning the incumbent’s area of responsibility.
- Establish and maintain cooperative working relationships with those contacted in the course of work and communicate effectively with the public and other required entities.
Skills:
- Strong verbal and written communication skills, with the ability to communicate with tact and diplomacy.
- Strong customer service skills, including the ability to handle escalated customer inquiries.
- Strong personal computer skills. Must be proficient with Microsoft Office (Word/Excel/Outlook) and able to promptly learn other job-specific programs as needed.
Licenses, Certifications & Special Requirements
- Must possess fluent verbal and written bilingual skills (English/Spanish).
- Texas Class C driver’s license with a good driving record as measured by the City’s evaluation system.
Physical Demands
Physical demands include but are not limited to: sitting, talking, hearing, seeing, standing, walking, driving, bending, reaching, twisting, pushing, pulling, using hands and fingers to operate office equipment and machines, and occasionally lifting and/or moving objects up to and including 25 pounds.
Working Conditions
Work is performed primarily a well-lighted and temperature-controlled working located in a central lobby setting/open concept clerical station with the majority of the time spent at a computer workstation. This position deals with a high volume of interaction with the public.
Equipment
Work shall be performed with tools, appliances, and equipment approved by those agencies and bodies that have control, authority, or approval of the design working ranges or limitations of those items; the employee has the responsibility to conform to those ranges and limitations.
